About the Role:
Trailzi is seeking a highly organized and proactive Part-Time Project Manager to help streamline our operations, enhance client communication, and empower our team. This is a long-term, remote position ideal for a skilled project manager who thrives in a fast-paced environment and is passionate about creating efficient workflows and fostering a positive team culture. You will play a crucial role in ensuring projects are delivered on time and to the satisfaction of our clients, while also driving internal efficiency through process improvements and automation.

Responsibilities:
- Client Communication: Serve as a primary point of contact for clients, providing regular project updates, presenting progress, gathering feedback, and proactively managing expectations using clear and simple, non-marketing language.
- Project Planning & Execution: Develop detailed project timelines within Teamwork.com, define project scope, assign tasks to team members, establish dependencies, and ensure clear communication of responsibilities.
- Task Management & Monitoring: Utilize Teamwork.com to assign, track, and monitor the progress of tasks, ensuring on-time completion and optimal team capacity. Identify and address potential roadblocks or delays proactively.
- Automation & Process Improvement: Identify opportunities to automate repetitive tasks and streamline workflows using Teamwork.com and Active Pieces (or similar platforms like Zapier or Pabbly). Implement automations to reduce the owner's involvement in execution-level tasks.
- Software Management: Effectively manage and leverage our core software platforms, including Teamwork.com, GoHighLevel.com, and Google Workspace, to optimize project delivery and team collaboration.
- Performance Management & Accountability: Understand and apply our internal guidelines for addressing missed task timelines, including providing training, increasing accountability, and escalating issues as necessary. Clearly communicate the financial implications of time management to the team.
- Reporting to Leadership: Provide regular updates to the owner, including daily stand-up contributions and monthly reports on owner activities that have been automated or delegated.
- Team Collaboration & Culture: Foster a positive and collaborative team environment, emphasizing a people-first approach while ensuring efficient task management.

Qualifications:
Proven experience as a Project Manager, ideally within a marketing or agency setting.

Required: Hands-on experience using Teamwork.com for project management, including task assignment, timeline creation, and progress tracking.

Experience with automation tools, with prior experience in Active Pieces being a significant plus. Familiarity with similar platforms like Zapier or Pabbly is also highly valued.

Moderate to high understanding of basic project financials and resource allocation concepts.

Excellent communication (written and verbal), interpersonal, and presentation skills, with the ability to communicate complex information simply and clearly.

Strong organizational skills, attention to detail, and the ability to manage multiple projects simultaneously.

Demonstrated ability to problem-solve effectively and proactively.

Proven ability to set boundaries and hold team members accountable in a positive and constructive manner.

Proficiency in Google Workspace.

Ability to work independently and remotely in a part-time capacity with a consistent yet flexible Monday to Friday schedule.
