Project Manager – Operational Excellence

We’re looking for a driven Project Operations Manager to bring order, discipline, and results to our Sales and Marketing teams — and beyond.

Your Mission

Turn chaos into clarity and performance. Start with Sales and Marketing — building processes, clean data, and real accountability — then expand the same discipline across our portfolio of businesses. Your job is to make sure we always know exactly how we’re performing, fix what’s broken fast, and push what works even further.

Responsibilities

Sales

  • Oversee and improve Sales team performance, tackling underperformance head-on
  • Own HubSpot at an admin level (pipelines, properties, automations, sequences, dashboards) — with executive-grade reporting that makes KPIs and performance crystal clear
  • Implement corrective action plans when off track, and identify growth opportunities when ahead
  • Analyse dips using our in-house AI tools and lead improvement projects to completion
  • Create a Sales Playbook for every role to ensure consistency and efficiency

Marketing

  • Bring strong management and process discipline to ensure on-time, high-quality delivery
  • Own HubSpot at an admin level as well, as mentioned for Sales.
  • Implement and monitor all processes in ClickUp, ensuring documentation and compliance
  • Manage supplier relationships — clear scope, timely delivery, quality results
  • Align organic marketing with paid media buying for maximum impact
  • Own budget management, tracking ROI on every campaign
  • Learn our brands (including Mina’s personal brand and Trivium) to ensure aligned and effective strategies
Requirements
  • Fluent English (written & spoken) with strong communication skills
  • Hands-on systems implementer: HubSpot admin skills (workflows, custom objects/properties, reports), ClickUp workflow design, advanced Google Sheets/Excel (lookups, pivots, queries). Comfortable unblocking with APIs/zaps when needed.
  • Exceptional process design, implementation, and improvement skills. You love turning chaos into beautiful systems that you design, implement, monitor and constantly improve. You are obsessed with reaching excellence through incremental continuous improvement.
  • Strong data analysis ability — spot trends and act fast.
  • Excellent leadership, communication, and stakeholder management skills
  • Thrives in extremely high-pace environments: Highly organized, able to switch contexts seamlessly and deal with ambiguity, resilient under pressure, and motivated by continuous challenges — all while maintaining balance within a 40-hour workweek (no overtime expected).
Compensation & Benefits
  • Monthly Salary $2k - $3k USD
