Job Summary:
Executive Assistant + Project Manager + Ops Coordinator
We’re looking for a highly organized, proactive, and versatile Program Manager to join our growing team. In this hybrid role — part Project Manager, part Executive Assistant, and part Chief of Coordination — you will act as the operational heartbeat of Belong, helping keep our internal teams, external partners, and key initiatives aligned and moving forward.
You will report directly to the CEO and work cross-functionally with leadership across Product, Partnerships, Banking, Legal, and Engineering. This is a high-visibility, high-impact role for someone who thrives in a fast-paced, startup environment and loves being in the center of the action.
Responsibilities:
Own and manage internal and external workstreams across multiple time zones (New York, Stockholm, West Coast).
Schedule, prep for, and follow up on internal and external meetings — including investor calls, partner check-ins, product reviews, and board updates.
Serve as the point person for Belong’s operational rhythm: weekly lead check-ins, team updates, and progress tracking.
Ensure key milestones and roadmap deliverables are on track across all functions.
Proactively use AI-powered tools for meeting notes, task tracking, scheduling, and status reporting.
Liaise with banking partners, vendors, consultants, and collaborators to ensure seamless communication and documentation.
Support the CEO and leadership team with admin and logistics support as needed.
Organize and distribute pre-read materials and summarize key action items post-meetings.
Ensure team alignment on priorities, timelines, and deliverables using tools like Google Workspace, Slack, Notion/Asana (or similar).
Key Qualifications:
4+ years of experience in operations, project management, executive assistance, or similar roles at a high-growth startup or tech/entertainment company.
Fluent in managing fast-moving, cross-functional projects.
Exceptional communicator and relationship builder.
Proactive, detail-oriented, and a natural problem-solver.
Highly self-motivated and comfortable working remotely across global teams.
Tech-savvy and confident using modern tools like Google Workspace, Slack, Zoom, and AI assistants.
Comfortable working across time zones and juggling multiple workstreams at once.
English proficiency.
Passion for music, culture, technology, or the creator economy is a huge plus.
