About the Role

We are currently hiring for two key positions: Operations Director and Operations Manager. These are full-time contractor roles. In these roles, you will play a vital part in driving our luxury travel operations, ensuring that every journey we design is smooth, personalized, and executed to the highest standard of excellence.

Work Mode

These are fully remote roles, the job location can be worldwide. You’ll collaborate closely with our Iceland-based team and other remote colleagues, requiring excellent communication, high accountability, and flexibility.

Travel Request

Both positions include an immersive 5-week training period in Iceland , with 4 weeks of solo travel across the country to learn our logistics and experiences firsthand, followed by 1 week of in-office training to master our quoting and sales systems.

Key Responsibilities for the Operations Director

Design and implement a clear operational strategy to streamline processes and scale business growth

Reorganize the current operational structure and develop efficient systems to manage all aspects of the business

Create comprehensive management plans and procedures for the team, including workflows, training materials, and performance standards

Establish company-wide operational guidelines and SOPs (standard operating procedures) to ensure consistency and excellence across all departments

Take full ownership of the management system: restructure, automate, and integrate it effectively to support all operational needs

Oversee the allocation and scheduling of company and rental vehicles, ensuring optimal usage based on client demand and tour logistics

Lead renegotiations with all tour-related providers to secure favorable terms and improve cost-efficiency

Collaborate closely with leadership and cross-functional teams to support high-level decision-making and long-term planning

Provide hands-on support during peak periods, ensuring seamless trip execution and fast resolution of any real-time challenges

Continuously optimize operational procedures and proactively identify and solve any bottlenecks or issues

Key Responsibilities for the Operations Manager

Oversee and execute travel operations for luxury tours, ensuring every itinerary is personalized, smooth, and exceeds client expectations

Communicate with the client to understand their preferences and provide timely support throughout the journey

Book activities, accommodations, and all travel-related services with meticulous attention to detail

Communicate with tour guides and drivers to assign the most suitable personnel for each trip

Prepare operational budgets, forecasts, and track costs

Coordinate company vehicles and allocate them efficiently according to the schedule and client profile

Monitor trip execution, resolve unexpected situations in real-time, and provide quick solutions

Ensure every client touchpoint reflects our standard of excellence in service, style, and personalization

Required Skills and Qualifications

Technical Skills

Proficiency with digital tools like Excel, Zoho Sheets, and project/task management platforms (e.g., Zoho project)

Strong data management, analytical skills and maths skills.

Ability to handle large volumes of bookings, schedules, and logistics without errors

Familiarity with the travel industry systems and platforms is a plus

Soft Skills

Exceptional English, Spanish and Portuguese communication skills, both written and verbal

Outstanding organizational skills with the ability to juggle multiple priorities under pressure

Disciplined, reliable, and detail-oriented, with excellent follow-through

Fast thinker with the ability to make decisions quickly and accurately

Strong leadership and man-management abilities, with experience managing vendors, drivers, and guides

Proactive problem solver – you find answers before asking for help

Ability to handle stress, tight deadlines, and sudden changes with grace

Flexible with working hours and available to work long days during peak season

Creative and "think outside the box" mindset

Bonus Qualities

Fluent in Icelandic is a plus.

Experience in luxury travel, high-end hospitality, or event operations is highly desirable

A natural eye for subtle issues and a patient, detail-driven work ethic

$36,000 - $48,000 per year, depending on experience and workload capacity.
