YOU'LL HAVE THE OPPORTUNITY TO:
- Act as the first point of contact for anyone entering the office.
- Greet visitors, answer phone calls, and deliver exceptional service to employees and customers.
- Receive deliveries; sort and distribute incoming mail.
- Serve as the main contact with the Beaumont Condominium Association.
- Purchase office and cafeteria supplies (biscuits, coffee, fruits, etc.), and maintain proper stock levels.
- Request cleaning & maintenance services from third-party suppliers related to the office.
- Monitor security and communication systems; report issues and request maintenance.
- Register new suppliers, process POs, and handle payments following BRP’s compliance rules.
- Assist with administrative tasks for the management team, including travel arrangements, meetings, and events.
- Coordinate and host team meetings and workshops.
- Facilitate communication and collaboration across departments.
- Support hotelling desks and meeting room bookings.
- Manage holidays & vacations calendar.
- Support onboarding of new hires.
- Convey BRP and local campaign messages (Diversity, Ride Out Intimidation, Waste Management, Yellow Day, etc.).
YOU’LL THRIVE IN THIS ROLE IF YOU HAVE THE FOLLOWING SKILLS AND QUALITIES:
- Fluent in English.
- Ability to manage administrative aspects of projects, including meetings, documentation, and problem-solving.
- Exceptional attention to detail and organizational skills.
- Experience developing presentations, work packages, memos, scheduling, and basic data analysis using Word, Excel, PowerPoint, and Google tools.
- Excellent verbal and written communication skills.
- Ability to work independently and as part of a team, interacting effectively across the organization.
- Preferred experience negotiating and collaborating with external vendors.
