Summary

The Facilities Intern (FM) will support administrative routines within the sector, assisting with document management, contract control, procurement processes, indicator analysis, and communication with suppliers and clients. The role involves handling fundamental administrative tasks to ensure smooth site operations and enhance internal process efficiency.

Job Responsibilities
  • Assist in drafting, updating, and controlling service provider contracts (cleaning, maintenance, security, etc.);
  • Support invoice control, receipt, and verification of supplier invoices;
  • Perform quotations, purchase requests, and monitor orders for materials and administrative services;
  • Update control spreadsheets and internal systems with relevant facilities data (indicators, budgets, expenses, etc.);
  • Assist in inventory control of equipment, materials, and administrative assets;
  • Organize and archive documents, contracts, reports, and other administrative records;
  • Provide administrative support and customer service to internal staff;
  • Assist in preparing management reports for decision-making;
  • Contribute to administrative process improvement initiatives in the FM area.
Required Qualifications

Education: Currently pursuing higher education in Administration or related fields;

Skills and Abilities:

  • Proficiency in Microsoft Office Suite;
  • Good communication skills;

Preferred:

  • Knowledge of SAP;
  • Intermediate English;
  • Experience with Power BI.
