Role Snapshot

At Insider, as a Facilities, you will be an essential contributor to the facilities operations of the company, ensuring accuracy, efficiency, and innovation in our processes. Your responsibilities will include:

  • Negotiate with suppliers to obtain the best proposals for services or products.
  • Control budget requests and ensure they are accurate.
  • Monitor, control, and request office inventory of materials and supplies.
  • Register and control the entry and exit of vendors.
  • Control and catalog the company's fixed assets (laptops, furniture, printers, etc.).
  • Develop and ensure internal policies (reimbursements, travel, asset replacement, etc.).
  • Manage service provider contracts (cleaning, HVAC maintenance, IT, etc.).
  • Request and follow up on building and corrective maintenance (cleaning, HVAC, IT, etc.).
  • Update, monitor, and provide company certificates (usually requested by sales).
  • Control and record accounts payable and receivable.
  • Support the collection of overdue client payments.
  • Assist in the preparation of financial reports.
  • Organize and archive physical and digital documents.
  • Support audits.
  • Manage onboarding and offboarding of employees, including building access.
  • Support corporate events.
Qualifications and Qualities
  • Hold or be finishing a degree in Finance, Business, Management, or a related field.
  • Are a fast learner with a proactive, dynamic, and self-directed approach.
  • Have up to 2 years of experience in similar roles or are a new graduate eager to learn.
  • Are detail-oriented and highly organized.
  • Have a good understanding of how invoicing works, including processes through platforms like municipal systems or NetSuite.
  • Have experience with office management or facilities.
  • Possess advanced English proficiency (Spanish is a plus).
  • Enjoy working in a multicultural environment and can communicate effectively with internal and external stakeholders in a fast-paced, startup environment.
