About the Role
We’re hiring a highly organized and proactive Executive Assistant / Ops Support to work closely with our leadership team. This role blends executive support, project coordination, and operations management, and is ideal for someone who thrives in dynamic environments and enjoys solving problems, improving systems, and enabling strategic focus at the top.
You’ll be trusted with sensitive information, have visibility into business priorities, and help ensure both day-to-day efficiency and long-term progress across the company.
Key Responsibilities:
Executive & Administrative Support
Manage calendars, email correspondence, and scheduling for key executives
Prepare briefing documents, presentations, and follow-ups for internal and external meetings
Coordinate travel, expenses, and logistics for executive engagements
Strategic & Operational Support
Collaborate closely with leadership to drive key projects and strategic initiatives
Identify gaps in processes and proactively suggest and implement improvements
Track goals, OKRs, and project milestones to ensure timely delivery and alignment
Conduct research and compile insights to support decision-making and strategic planning
Project & Workflow Management
Build and maintain systems for team communication, task tracking, and documentation
Lead and support special cross-functional projects, from planning to execution
Act as liaison between internal teams and external vendors, partners, or consultants
Team Operations & Culture
Support hiring and onboarding workflows in coordination with HR/recruitment
Assist with internal communications, documentation, and team-wide updates
Organize virtual meetings, offsites, and team engagement initiatives
Requirements:
Must have:
3–5 years of experience in a hybrid EA/Ops/Chief-of-Staff-like role (startup or remote environment a plus)
Exceptional English communication skills, both written and spoken
Proficient with CRM and sales outreach platforms (e.g., Apollo, HubSpot, Salesforce)
Technically curious and eager to explore AI-enabled business tools
Strong project management and problem-solving skills
Strong critical thinking and problem-solving abilities; able to work autonomously
Ability to work autonomously and manage multiple priorities in a remote setup
High level of discretion, professionalism, and attention to detail
A proactive, solutions-oriented mindset with a passion for improving processes
Highly trustworthy with strong discretion and judgment
Nice to Have:
Experience in startups, tech, AI, or investment industries
Exposure to hiring, finance ops, or internal knowledge management
