This is a high-impact, strategic support role designed for a seasoned professional who thrives in fast-paced environments and understands how to drive executive effectiveness. You will be the right hand to the CEO, enabling focus on top priorities by managing schedules, communications, travel, and board engagement. The position also involves liaising with high-level stakeholders and contributing to internal alignment across key projects and milestones. Accountabilities:
- Serve as a strategic partner to the CEO, managing a proactive, priority-based calendar that balances business and personal needs.
- Oversee all travel logistics and meeting preparations, ensuring seamless transitions and thorough briefings.
- Track high volumes of communications (email, LinkedIn, texts, etc.), ensuring timely follow-ups and managing responses on behalf of the CEO.
- Prepare executive briefings and consolidate agendas and relevant materials ahead of meetings.
- Leverage systems like Salesforce for stakeholder management, contact tracking, and meeting organization.
- Plan and execute logistics for key events such as executive retreats, internal leadership sessions, and investor meetings.
- Coordinate board and committee meetings, including scheduling, materials, attendance, follow-ups, and event logistics.
- Maintain positive relationships with board members and external stakeholders with high levels of discretion and professionalism.
- Collaborate with the Executive Assistant team on organizational support and cross-functional communication tasks.
- Optimize internal processes, organizational calendars, and collaboration tools to improve efficiency across leadership teams.
Requirements- 10-15 years of experience in high-level administrative support roles, ideally within fast-paced, mission-driven or entrepreneurial settings.
- Exceptional organizational and time-management skills, with the ability to handle multifaceted projects and competing priorities.
- Outstanding written and verbal communication abilities, with proven experience in executive-level correspondence.
- Impeccable attention to detail and a strong track record of producing polished, high-quality work.
- Demonstrated ability to build and maintain trust-based relationships with executives, board members, and external stakeholders.
- High sense of ownership and accountability, especially when managing sensitive information or coordinating executive priorities.
- Comfort working independently while aligning with a collaborative, cross-functional team.
