We are searching for the best talent for Executive Assistant - Board Innovative Medicine to be in São Paulo, Brazil.
This role is responsible for ensuring that the time and tasks of the board directors are well organized, planned and prioritized.
Providing effective operational and administrative support to ensure the efficient running of the departments is essential.
In addition to supporting the Directors, the Executive Assistant should work independently to prioritize and balance a personal workload in order to meet critical deadlines and target dates for assignments in the respective areas.
You will be responsible for:
· Managing and handling daily administrative tasks for the directors;
· Undertaking several duties, including filing and business/travel expenses;
· Managing calendars of the directors, prioritizing appointments as well as identifying and solving calendar conflicts;
· Preparing and submitting monthly expense reports of the Directors, in a timely manner, meeting deadlines according to company´s policies, as well as ensuring that the documents are compliant with these policies;
· Participating, preparing and following-up on business visits and townhalls, as well as meetings, including the taking of minutes, organization of conference calls and video conferences;
· Connecting with other stakeholders to guarantee high professional standards in the areas.
Qualifications / Requirements:
· University degree;
· Previous experience as an Executive Assistant;
· Advanced/Intermediate English language and desirable Spanish language;
· High level of proficiency on Microsoft Office;
· Attention to details, being able to prioritize multiple requests and deadlines;
· Pro-active approach and willingness to accept delegated projects and responsibilities;
· Excellent oral and written communication skills in Portuguese and English;
· Solid time management and problem solving skills;
· Strong sense of urgency;
· Exceptionally resilient, even during busy periods;
· Flexible and proactive; focus on solutions; tackle any changes made at short notice;
· Able to maintain confidential information.
