About Downing Capital Group

About the Role

We are seeking a highly organized and proactive Executive Assistant (EA) tosupport one of our newest automotive portfolio companies’ CEOs and founding team members. In this role, the EA willprovide administrative and strategic support to our executive team. The EA will play a critical role in optimizing our leadership’s productivity by managing schedules, coordinating key meetings, handling confidential information, and executing operational tasks. This role requires a high level of discretion, adaptability, and a desire to work in a startup environment.

Key Responsibilities
  • Calendar & Schedule Management: Manage and coordinate complex schedules, meetings, and travel arrangements for executives.
  • Communication & Correspondence: Serve as a point of contact between executives and internal/external stakeholders, ensuring timely and professional communication.
  • Vendor & Contractor Management: Manage, compare, and process payments for vendors as well as contractors.
  • Operational Support: Assist with day-to-day office management and administrative duties to ensure smooth company operations.
  • Event Coordination: Plan and execute team offsites, leadership retreats, and other company events.
  • Document & Data Management: Organize and maintain confidential files, presentations, reports, and key documentation.
  • Ad-hoc Support: Provide miscellaneous support such as research, expense reporting, and vendor coordination.
Qualifications & Skills
  • Experience: 2+ years as an Executive Assistant, Chief of Staff, or in a similar administrative role, preferably in a high growth environment.
  • Technical Proficiency: Familiarity with productivity tools such as Google Workspace, Slack, Zoom, and other collaboration platforms.
  • Organizational Excellence: Strong ability to multitask, prioritize, and manage competing demands in a fast-paced setting.
  • Strong Communication Skills: Exceptional verbal and written communication skills with a professional and discreet demeanor.
  • Problem-Solving Ability: A proactive mindset, capable of anticipating needs and solving problems independently.
  • Trust & Confidentiality: Ability to handle sensitive information with the utmost discretion and professionalism.
  • Adaptability & Initiative: Comfortable working in an ever-changing startup environment and able to pivot quickly when necessary.
