About the Role

We are a California-based American company looking for an Administrative Assistant (entry level) based in Brazil to work 100% remotely. This is an operational position focused on ensuring the quality of our services through daily photo audits, contractor communication, and KPI reporting. We are looking for professionals who are comfortable working in an operational capacity.

Key Responsibilities

  • Photo Audits: Review and audit service photos in real time and on the following day to ensure compliance with quality standards.
  • Feedback to Contractors: Send daily feedback to contractors and technicians highlighting missing elements, improvement points, and corrective actions.
  • Rework Tracking: Maintain a board of services that were reworked or required follow-up, ensuring transparency and accountability.
  • KPI & Weekly Reporting: Compile and send weekly reports with key indicators such as punctuality, number of completed jobs, and quantity of redos.
  • Field Leader Communication: Liaise with the Field Leader in California to share clear, actionable feedback and improvement opportunities.
  • End-of-Day Report: Prepare and send a daily report identifying missing or incomplete photos.

Requirements

  • Fluent English (written and spoken).
  • Administrative experience with strong attention to detail.
  • Availability to work during California business hours: Monday to Friday: 3:00 PM – 12:00 AM (Brasília time), Saturday: 8:00 PM – 12:00 AM (Brasília time).
  • Must be legally able to work as an Independent Contractor (PJ) in Brazil.
  • Willingness to follow the California calendar (holidays only observed when in the U.S.).

Preferred Qualifications

  • Previous experience in auditing, quality control, or verification of information.
  • Familiarity with KPI reporting or operational dashboards.
