Virtustant is seeking a detail-oriented and highly organized Remote International Accounting & Administrative Specialist to join our growing team. This role will be crucial in ensuring the accuracy and efficiency of our financial and administrative operations, working closely with our internal accounting team and sales representatives.

This role will be crucial in ensuring the accuracy and efficiency of our financial and administrative operations, working closely with our internal accounting team and sales representatives.
Responsibilities
Daily Tasks (Approx. 1 hour/day):
- QuickBooks (QB) daily transaction matching for review.
- Update landed costs in Slabsmith and receive material bills for slab inventory.
Weekly Tasks (Approx. 4 hours/week):
- QB and Moraware audit related to Accounts Receivable (AR) and due dates.
- Accounts Payable (AP): Track receipts, upload documents to QB, and create bills with attached invoices as they come in.
- Review and send Greenspring invoices for completed jobs every Friday.
- Invoice Ashby Ponds jobs upon completion.
Bi-Weekly Tasks (Approx. 3 hours/bi-weekly):
- Setup subcontractor payment templates.
Monthly/Ongoing Tasks:
- Sales Representative Commissions and audit (2 hours per week, reporting to owners monthly).
- AR: Match payments to QB invoices.
- Maintain and update Administrative Spreadsheets and CRM.
- Conduct AIA to QB auditing.
- Track Other Bonuses.
- Perform Moraware Auditing and generate weekly/monthly reports.
- Handle ad-hoc projects, such as project close-out documents and vendor forms.
Responsibilities After 3 Months in Role:
- Develop and implement a robust Standard Operating Procedure (SOP) for sending out invoices after installation dates.
- Send invoices only for retail/residential jobs (paid in one or two payments based on deposit).
- Verify job completion in Moraware, ensuring no remaining phases or issues, and consult with sales representatives as needed, for applicable retail/residential invoices.
Qualifications
- Proven experience with QuickBooks (QB) and financial transaction management.
- Strong understanding of Accounts Receivable (AR) and Accounts Payable (AP) processes.
- Exceptional attention to detail and accuracy.
- Proficiency in using CRM systems and administrative spreadsheets.
- Ability to work independently and manage time effectively in a remote environment.
- Excellent organizational and communication skills.
- Experience with Moraware and Slabsmith software is a plus.
- Ability to adapt to new processes and software quickly.

Pay range and compensation package
1700 - 2500 Per Month
