BASIC FUNCTION:

The Academic Records Coordinator (ARC) is a full-time staff position at the Howard University School of Divinity responsible for the maintenance of student records, serving as the Faculty Recording Secretary, and creating and maintaining an archival database of HUSD student records. The ARC works collaboratively with students, faculty, and staff to ensure student and faculty needs are met. This role requires that the ARC be able to work with faculty and administration to develop and manage course schedules, address student inquiries, perform all necessary administrative duties, and prepare and deliver reports/presentations, as needed.

The ARC is to attend all faculty meetings to create an official record of the meeting and create and track all action items. The ARC position would create a relational database/tables of faculty, action items, and university resources, which she/he would use to ensure that all faculty action items are documented, assigned a tracking number, assigned to a responsible party, and tracked to closure. And in this role, the ARC will also perform archival duties to ensure several HUSD files and records are archived properly.

SUPERVISORY ACCOUNTABILITY:

Supervision of others is not a typical function assigned to this position. The ARC may provide training and orientation to newly assigned personnel, and may assign work to student workers.

NATURE AND SCOPE:

Internal contacts include the deans, faculty, and students. External contacts include affiliated schools and hospitals.

PRINCIPAL ACCOUNTABILITIES:

  • Serves as the HUSD Academic Records Coordinator internally and externally (e.g., Washington Theological Consortium)
  • Works with faculty to ensure all student grades are submitted and recorded
  • Performs degree audits as requested
  • Works with faculty and staff to create and manage semester course schedules
  • Responds to university, faculty, students, and staff inquiries
  • Ensures the accuracy of academic records
  • Develops student data reports and present reports to administration and faculty
  • Uses technology (e.g., relational databases, SQL, etc) to create a means to document all faculty meeting action items and track them through completion
  • Creates and executes SQL queries to research historic meeting minutes to resolve disputes, restate decisions, and set future directives
  • Archives faculty meetings notes and other HUSD artifacts
  • Attends all faculty meetings and record all meeting votes, discussions, decisions, and action items
  • Manages access and privileges to the database

CORE COMPETENCIES:

  • Knowledge of best practices and principals of academic registry (student records).
  • Knowledge of laws and regulations related to student data privacy, particularly FERPA
  • Knowledge of relational databases and SQL
  • Proficiency of office automation software (e.g., Ms-Office Suite, CRM tools).
  • Ability to work collaboratively with students, faculty, and administration to solve problems
  • Ability to record conversations accurately and then create cogent and professional meeting minutes and action items from notes
  • Ability to conduct strategic planning and design relative to institutional registry practices, student trends, and administration directives
  • Ability to communicate effectively orally and in writing with a diverse population.
  • Ability to promote, establish and maintain effective and harmonious work relations with students, faculty, staff, University officials and the public.

MINIMUM REQUIREMENTS:

Bachelor’s Degree; Master's Degree Preferred, five (5) years of direct work in institutional assessment in higher education, expert level experience in course schedule development or instructional design, experience in taking and recording meeting notes, experience with Blackboard or other LMS, experience creating relational databases and SQL queries, experience building assessment reports with visual analytics, experience creating program dashboards.
