Operations Coordinator – Job Description
The Operations Coordinator works on a specific subset of services we deliver (e.g., claim reimbursement, fraud, clinic coordination). They are responsible for delivering and improving operational services across France, Belgium, Spain, and Canada.
Key Responsibilities
Approximately 70-80% of the role involves the following core responsibilities:
- Run insurance or health service processes (referred to internally as Ops Runners).
- Ensure day‑to‑day follow‑up and monitoring of operations.
- Flag risks and identify opportunities for improvement.
Additional responsibilities (20-30% of the role) include continuous improvement and automation:
- Operate processes: invoicing, claims treatment, provider network management, and support to internal teams.
- Define and own monitoring schemes to track volumes, efficiency, SLAs, and risk areas.
- Supervise third‑party partners (e.g., teleconsultation, claim operators) and manage daily communication to maintain business continuity.
- Perform controls to verify correct decisions, identify training needs, and document best practices.
- Escalate feedback, support prioritisation, and coordinate initiatives that enhance process delight and efficiency.
Scope and Pool Structure
Operations Coordinators are organised into pools of 3‑7 runners, collectively responsible for a defined scope. Example scope topics:
- Alan therapy: manage relationships with psychologists, balance demand and supply, and support the booking lifecycle (hiring, onboarding, invoicing).
- Claims: provide a best‑in‑class claims experience, adjudicate claims, monitor external provider performance against SLAs, and conduct quality controls.
- Fraud: investigate suspicious claims, prevent fraudulent payouts, and recover losses when necessary.
- Setup/Onboarding: ensure smooth onboarding/out‑boarding of employees, invoicing, and billing, and continually improve process quality.
Operations Coordinators may move between pools as the company’s needs evolve, allowing them to explore new scopes after gaining experience.
Required Experience
- Operations experience in scale‑up or industrial/logistic companies.
- Background in support functions such as Customer Support or People Operations.
- Customer‑facing commercial experience (e.g., account management, Customer Success Communications).
- Event coordination experience.

- Analytical mindset with the ability to dive into data to drive decisions.
- Excellent organisational and follow‑up skills with meticulous attention to detail.
- Structured written and verbal communication in English and Dutch.
- Ability to work independently in a fast‑paced environment, with adaptability and flexibility.
- Experience in the insurance or healthcare industry is a plus.
