In this role you will:

As a Management Assistant, you play an essential role in our daily operations.

  • You make sure our Heads of Department can fully focus on their core responsibilities by managing calendars, scheduling meetings, and streamlining communication – often in close collaboration with assistants across the globe;

  • You coordinate internal and external events that bring colleagues closer together, both locally and internationally, from sports initiatives and team-building activities to an annual family day, New Year’s event, and even creative actions like the Warmste Week;

  • You optimise and facilitate administrative processes handling a wide variety of tasks that require adaptability, including launching documents for digital signature, formatting contracts, following up on NDAs, archiving in SharePoint, creating POs in SAP, or converting documents between Word, PDF, and Excel;

  • You provide valuable support across various administrative activities and ad hoc projects, as part of the go-to team when things need to be organised quickly and effectively.

To be successful in the role you will bring:

  • Bachelor’s degree or at least 5 years of experience in a similar role.

  • Strong organisational and time-management skills; thrives under pressure and can juggle multiple priorities.

  • Flexible and adaptable in the face of change and unforeseen circumstances.

  • High level of discretion, empathy, and confidentiality.

  • A team player with the ambition to contribute to a high-performing, growing international company.

  • Independent, detail-oriented, and quality-focused.

  • Excellent communication skills in English and Dutch, both written and spoken.

  • Proficient in Outlook, Word, Excel, and PowerPoint.

  • Experience in communication and event planning is a plus.
