Vibe Fund, based in Brussels, seeks an organised Operations Officer to ensure reliable day-to-day functioning, strong documentation, and scalable processes. You will support grantmaking, finance administration and organisational operations across teams.

The role reports to the Senior Director of Operations, collaborates with HR and IT, and emphasises practical process improvement while maintaining confidentiality and high standards of governance.

Qualifications

• At least two years of experience in operations, administration, grants administration, finance administration or project coordination.
• Experience in philanthropy or international non-profit organisations is an advantage.
• Comfort with Microsoft 365, SharePoint and digital collaboration tools; experience with an ERP, CRM or grants-management system is desirable.
• Excellent written and spoken English; French or another relevant working language is an advantage.

Responsabilités

• Coordinate grant files, due diligence, agreements and grant trackers.
• Support grant payments, supplier onboarding, invoice and expense-claim administration.
• Maintain supporting records and apply internal controls and separation of duties.
