MAKITA is seeking an export operations coordinator to manage transport arrangements and customs-clearance documentation. You will work closely with forwarders, logistics partners and internal teams to ensure accurate item data and timely processing of purchases.

Ideal candidates will have knowledge of export procedures, Incoterms and international transport, with strong MS Office skills and fluency in French and English.

Responsabilités

• Arrange transport and prepare customs clearance information.
• Communicate with forwarders, transport partners and customs stakeholders.
• Manage item data and process and register purchases.
• Check and record invoices in the inventory system for export.
• Prepare documents (transport documents, certificates of origin, certificates of conformity, EUR1, etc.).
• Follow up on open orders to ensure timely shipment.
• Coordinate with Customer Service to ensure smooth export operations.
• Provide back-up support to general administrative tasks.

Your main responsibilities are arranging transport, preparing customs clearance information, and communicating with forwarders and transport partners. You will also manage item data and handle the processing and registration of purchases.

• Checking and recording invoices in the inventory system related to export.
• Checking all kinds of documents (transport documents, certificates of origin, certificates of conformity, EUR1, ...)
• Preparing and providing information required for customs clearance
• Following up on open orders and taking action to ensure timely shipment.
• Communicating with forwarders, transport companies, and customs-related stakeholders, including for transport arrangements.
• Monitor delivery times and prices, take action where necessary
• Coordinating with various departments, including Customer Service, to ensure the smooth flow of export operations.
• Back up to the general administrative tasks to support the department

Profil

• A customer-oriented mindset and strong problem-solving skills, combined with a collaborative approach, are essential.
• The ability to work accurately and with attention to detail is important.
• Knowledge and/or experience in export procedures and international transport is required.
• An understanding of customs and excise regulations is considered an advantage.
• Familiarity with Incoterms, together with technical understanding and an affinity for the product range, is a required.
• Fluency in both French and English, spoken and written, is essential.
• Good knowledge and hands-on experience with MS Office applications, particularly Excel, Word and Outlook, is necessary.
