Duties & Role:
- Support the planning, coordination and monitoring of technical projects and activities, ensuring that milestones, deliverables and deadlines are appropriately tracked
- Coordinate project-related activities across technical teams, management and other stakeholders, ensuring effective communication, alignment and timely follow-up
- Develop and maintain project documentation, including project plans, schedules, action trackers, risk and issue registers, status reports and meeting minutes
- Monitor project progress and performance against agreed plans, milestones and objectives, identifying delays, risks, dependencies and potential issues
- Prepare regular management and project status reports, dashboards and presentations, providing clear and accurate information on progress, risks, issues and required decisions
- Organize and support project meetings, workshops and governance activities, including preparing agendas, coordinating participants, recording decisions and following up on agreed actions
- Act as a central coordination point for project-related information and communication, facilitating collaboration between technical teams, project stakeholders, management and external suppliers where applicable
- Support resource, workload and activity planning, maintaining visibility of ongoing priorities, assignments and project commitments
- Contribute to the continuous improvement of project coordination and governance processes, identifying opportunities to improve planning, reporting, communication, documentation and overall delivery effectiveness
Specific Working Conditions:
Some work outside normal office hours may be required.
Up to 50 TDY within Belgium per year.
Requirements
Skills, Knowledge & Experience:
- The candidate must have a currently active NATO SECRET security clearance
- A Master's degree in Project Management, Business Administration, Information Technology, Engineering, or another relevant field
- A minimum of 5 years of professional experience as a Project Coordinator, Project Support Officer, PMO Officer, Project Assistant, or in a similar role supporting the coordination and delivery of projects
- Demonstrated experience coordinating multiple projects or workstreams simultaneously within a complex organizational environment
- Proven experience in developing and maintaining project plans, schedules, action trackers, risk registers, and project documentation
- Professional certification in PRINCE2, PMP, Agile, Scrum, or a similar project management framework would be considered an asset
