Job summary

JLL in Canberra is seeking a Workplace Coordinator Site Lead to act as the primary on-site representative, managing facilities operations, vendor relationships, financial processes, and project delivery. You will build client partnerships, ensure health and safety standards, and respond to emergencies 24/7.

The role focuses on independent decision-making, strong stakeholder engagement, and delivery within budget and contract KPIs, with a drive for continuous improvement.

Qualifications

• Experience in management or operations/facilities management or related field.
• Strong communication and presentation skills.
• Knowledge of health, safety and environment regulations is preferred.

Responsibilities

• Act as single point of contact for client stakeholders and oversee daily operations.
• Manage vendor performance, procurement, and budget within contract.
• Oversee purchase orders, invoice processing and budget tracking.
• Lead facilities projects from planning to completion before Place in Service dates.
• Coordinate site inspections, maintenance, and work orders.
• Maintain health and safety compliance and operational documentation.
• Provide 24/7 emergency support and work autonomously via mobile technology.

As the Workplace Coordinator Site Lead, you'll be the primary on-site representative managing facilities operations, vendor relationships, financial processes, and project delivery. An overview of the role:

• Act as single point of contact for client stakeholders, managing daily operations and service delivery

• Tertiary qualifications OR experience in Management, Business, Operations/Project Management, Facilities Management, or related field
• Practical knowledge of building services and maintenance operations
• Strong Microsoft Office proficiency (Word, Excel, PowerPoint, Outlook)
• Excellent verbal and written communication skills with strong presentation ability
• Client-focused with passion for service excellence
• Proven multitasking ability with keen attention to detail
• Goal-oriented with commitment to continuous improvement
• Ability to work autonomously and make independent decisions
• Previous site-based facilities management or workplace coordination experience (preferred)
• Experience in vendor management and procurement processes (preferred)
• Knowledge of facilities soft services (cleaning, catering, security) and hard services (HVAC, electrical, plumbing) (preferred)
• Understanding of Health, Safety & Environment (HS&E) regulations and compliance (preferred)
• Track record in project coordination and delivery (preferred)
• Knowledge of space planning principles (preferred)
• Experience with mobile technology and facilities management software (preferred)
