Job summary

Bayse Brand Pty Ltd is seeking a Wholesale Assistant in Melbourne to support the wholesale channel with day-to-day operations, showroom coordination, and strong relationship management with boutique and stockist accounts. The role requires hands-on organisation and a proactive approach to maintaining stock and orders.

You will coordinate seasonal showrooms, manage wholesale orders through to delivery, and help drive e-commerce support for wholesale customers, contributing to overall brand

Responsibilities

• Wholesale administration: manage wholesale account communications and process indent orders in Shopify
• e-Commerce support: update pricing, imagery, and product details on wholesalers’ platforms
• Showroom support: organise venues, manage samples, and attend appointments with wholesale accounts
• Reporting: assist with sales, inventory, and operational performance data and feedback to Design
• Warehouse & fulfilment: pick, pack and dispatch wholesale orders and coordinate with 3PLs

Job description

Reporting to the Merchandise & Wholesale Manager, the Wholesale Assistant will play a central role in the day-to‑day operation of Bayse’s wholesale channel. The successful candidate will coordinate seasonal showrooms, manage relationships with boutique and stockist accounts, and oversee wholesale orders through to delivery. This is a hands‑on position suited to a highly organised individual with a passion for fashion and a strong aptitude for building relationships.

Key Responsibilities

Wholesale Administration

• Handle communications with wholesale accounts for order updates, delivery queries and general account enquiries
• Enter all indent wholesale orders on Shopify accurately
• Monitor the B2B website in season, to ensure smooth operations from placement to delivery
• Conduct outreach to prospective accounts and arrange introductory onboarding

e-Commerce Support and Account Relationships

• Create and send regular buyer EDMs through the B2B site to promote new collections, ATS stock, and maintain buyer relationships
• Support e-commerce operations through pricing updates and corrections
• Upload imagery and product information to wholesalers’ e-commerce platforms

Showroom Support

• Assist in organising showrooms, including venue bookings, freight and set up
• Support Wholesale Manager with showroom logistics, calendar and appointments
• Attend appointments with wholesale accounts to present Bayse collections and range selection
• Collate indent orders from wholesale accounts
• Prepare, organise and maintain showroom samples

Reporting and Market Feedback

• Support reporting across wholesale sales, inventory, and operational performance
• Collect feedback from showrooms and accounts, including best sellers, pricing and range gaps to inform Design department
• Assist with order consolidation to support final unit buys and purchase orders
• Maintain accurate records and documentation across wholesale orders and accounts

Warehouse & Fulfilment

• Pick, pack and dispatch wholesale major orders
• Maintain accurate inventory
• Coordinate with external 3PL companies to ensure stock meets major wholesaler’s retail standards
