Job description

Civil Safety is a fast-expanding Registered Training Organisation (RTO) working across QLD and WA. We specialise in providing both training and safety advisory services to the mining, civil, oil and gas sectors.

We’re looking for an organised, customer-focused Training Coordinator to become the operational hub of our Townsville Branch. You’ll coordinate training delivery, support our trainers, build strong client relationships, and ensure every course runs smoothly from start to finish.

About the Role

As the Training Coordinator, you’ll be responsible for coordinating training operations within your branch. You’ll work closely with trainers, administration staff, clients and the Regional Manager to ensure courses are delivered efficiently, compliantly and with an exceptional customer experience.

No two days are the same. One minute you’ll be coordinating last‑minute trainer changes, the next you’ll be supporting your administration team, assisting a corporate client, or ensuring compliance documentation is completed accurately.

What You’ll Be Doing
  • Coordinate daily training operations across the branch.
  • Manage course schedules and trainer allocations.
  • Support and coordinate branch trainers with their day‑to‑day operational needs.
  • Build strong relationships with students, clients and internal stakeholders.
  • Manage enrolments and ensure student records remain accurate and compliant.
  • Coordinate training resources, venues and equipment.
  • Mentor and assist admin / reception team by allocating work and providing day‑to‑day guidance.
  • Monitor trainer utilisation and support efficient scheduling.
  • Resolve customer enquiries professionally and promptly.
  • Prepare reports via Excel for govt portals.
  • Ensure compliance documentation is accurate, complete and audit‑ready.
  • Approve trainer and administration timesheets.
  • Work closely with the Regional Manager to identify operational improvements.
About You

We’re looking for someone who is:

  • Highly organised with excellent time management skills.
  • Able to manage multiple priorities in a fast‑paced environment.
  • A confident communicator who enjoys working with people.
  • Customer‑focused and committed to providing exceptional service.
  • A natural problem solver who remains calm under pressure.
  • Detail‑oriented with a strong focus on accuracy and compliance.
  • Comfortable coordinating teams and supporting others to succeed.
  • Proactive, adaptable and able to work independently.
Ideally You’ll Have
  • Experience in training coordination, scheduling, administration or operations.
  • Strong organisational and planning skills.
  • Excellent written and verbal communication skills.
  • Experience working in a customer service environment.
  • Confidence using Microsoft Office and business management systems.
  • Experience within an RTO or training environment (highly regarded but not essential).
Why Join Civil Safety?

At Civil Safety, our people are at the heart of everything we do. We pride ourselves on providing a supportive team environment where your ideas are valued, your development is encouraged, and your contribution makes a genuine difference.

You’ll enjoy:

  • A supportive and collaborative team culture.
  • Opportunities for career development and progression.
  • A varied role where no two days are the same.
  • The chance to work with experienced trainers and industry professionals.
  • The opportunity to make a meaningful impact on the success of your branch.

If you’re an organised coordinator who enjoys building relationships, supporting people, and ensuring things run smoothly behind the scenes, we’d love to hear from you!
