Job summary

Hastings Deering is seeking a Technology Services Coordinator in Brisbane for a permanent, Monday–Friday role. You will coordinate machine onboarding, manage invoicing and reporting, and provide hands‑on support to internal teams and customers.

The role requires strong organisation, system confidence, and proactive problem‑solving with experience in admin, invoicing, and purchase orders. CAT technology exposure and travel coordination are included in the duties.

Qualifications

• Detail‑driven, organised, and able to juggle multiple priorities with ease.
• Confident using systems, databases, and Excel (pivot tables, reporting).
• Skilled at invoicing, purchase orders, and general admin.
• Strong communicator who can work with internal teams and external customers.
• Proactive problem‑solver who takes initiative and adapts quickly.

Responsibilities

• Prepare quotes and proformas for customer subscriptions.
• Manage invoicing processes including renewals, payments, and credit queries.
• Audit subscriptions, prepare reports, and process purchase orders.
• Coordinate machine onboarding and subscription setup in CAT systems.
• Manage inboxes, respond to customer and internal requests, and support rentals.
• Keep key reporting sheets accurate and up‑to‑date.
• Support Application Specialists with parts orders and coordination.
• Organise travel, accommodation, uniforms, catering, and POs.
• Use Power Automate to streamline processes and improve workflows.
• Provide day‑to‑day admin support to keep operations running smoothly.

About the role

Are you highly organised, great with systems, and ready to step into a role where you'll really make an impact? We're looking for a Technology Services Coordinator to join our supportive team on a permanent, Monday to Friday basis.

In this role, you'll be at the heart of our technology services-coordinating machine onboarding, managing invoicing and reporting, and providing hands‑on support to both internal teams and our valued customers. What you'll be doing

• Preparing quotes and proformas for customer subscriptions
• Managing invoicing processes including renewals, payments, and credit queries
• Auditing subscriptions, preparing reports, and processing purchase orders
• Coordinating machine onboarding and subscription setup in Caterpillar systems
• Managing inboxes, responding to customer and internal requests, and supporting rental subscriptions
• Keeping key reporting sheets accurate and up‑to‑date
• Supporting our Application Specialists with parts orders and coordination
• Organising travel, accommodation, uniforms, catering, and purchase orders
• Using Power Automate to streamline processes and improve workflows
• Providing day‑to‑day administration support to keep everything running efficiently
