Job summary

Acknowledge Education Pty Ltd in Fortitude Valley is seeking a Systems Coordinator to manage and optimise student management systems, ensuring data is accurate, reliable and regulatory compliant. You will work with internal teams and external vendors to enhance functionality, streamline processes and support decision-making.

The role emphasizes data analysis, regulatory reporting, and training across SMS, InPlace and JIRA, including Power BI dashboards and TCSI/QILT reporting support.

Qualifications

  • Bachelor’s degree or higher in Computer Science or a relevant discipline.
  • Experience with Student Management Systems (SMS) and data within the higher education sector.
  • Experience with TCSI reporting, including data preparation, validation, submission and resolution of reporting errors.
  • Experience with systems such as Meshed RTO Manager and JIRA, or similar platforms.
  • Strong data analysis and reporting capability, including advanced Excel skills and experience with Power BI or Tableau.
  • Strong attention to detail and a methodical approach to data integrity, management and compliance.
  • The ability to translate technical information into clear, practical guidance for non-technical stakeholders.
  • Strong organisational skills, with the ability to manage competing priorities and projects in a fast-paced environment.
  • The ability to build effective working relationships with internal teams, external vendors and stakeholders across the organisation.
  • Working with WWCC (Working with Children Check) or willingness to obtain.

Responsibilities

  • Manage and support key student and business systems, including the SMS, InPlace, JIRA and My eQuals.
  • Work with internal stakeholders and external vendors to resolve system issues and implement enhancements.
  • Monitor and maintain the accuracy, integrity and consistency of student data across systems.
  • Produce and analyse scheduled and ad-hoc operational, management and regulatory reports, including Power BI dashboards.
  • Support regulatory reporting requirements, including data preparation, validation and submission.
  • Monitor data and reporting requirements to identify trends and discrepancies.
  • Maintain accurate student records and census data in compliance with regulations.
  • Develop and maintain system documentation and user guides.
  • Deliver training to staff to promote effective system usage.

Job Description

We are seeking a Systems Coordinator to manage and optimise our student management systems, ensuring student data is accurate, reliable and compliant with regulatory requirements.

This role works closely with internal teams and external vendors to improve system functionality, streamline processes and maintain high standards of data integrity. You will also play a key role in operational and regulatory reporting, using data analysis and business intelligence to identify trends, resolve issues and support informed decision-making across the organisation.

Key Responsibilities
  • Manage and support key student and business systems, including the Student Management System (SMS), InPlace, JIRA and My eQuals.
  • Work with internal stakeholders and external vendors to resolve system issues, implement enhancements and improve system functionality and processes.
  • Monitor and maintain the accuracy, integrity and consistency of student data across systems.
  • Produce and analyse scheduled and ad-hoc operational, management and regulatory reports, including Power BI dashboards.
  • Support TCSI, QILT and other higher education and VET regulatory reporting requirements, including data preparation, validation and submission.
  • Monitor data and reporting requirements to identify trends, discrepancies and areas requiring investigation.
  • Maintain accurate student records and ensure key reporting fields, including census data, meet regulatory and organisational requirements.
  • Develop and maintain system documentation, user guides and process manuals.
  • Deliver training and guidance to staff to promote effective and consistent use of systems and processes.
Qualifications
  • A Bachelor’s degree or higher in Computer Science or a relevant discipline.
