Job summary

Fulton Hogan in Richmond, VIC, Australia, seeks an administrative and organising superstar to support our Southern Region Construction Submissions team on a 12‑month maternity leave contract (full-time). In this fast‑paced role, you will coordinate tender responses across VIC, TAS & SA, ensuring submissions are accurate, compliant, on‑brand and delivered on time.

You’ll be part of the Pre‑Contracts team, supporting major projects including VIDA roads and Melbourne Airport.

Qualifications

  • Intermediate to advanced Microsoft Word and PowerPoint skills.
  • Strong proofreading and formatting abilities.
  • Experience with tenders, submissions or document coordination is valued.

Responsibilities

  • Coordinate EOI and tender submissions with on-time delivery.
  • Build and manage submission schedules, milestones and reviews.
  • Set up tender documentation using Word templates and style guides.
  • Maintain the Resource Library and ensure content consistency.
  • Format and quality-check documents in Word and PowerPoint.
  • Maintain structured electronic filing systems and provide admin support.

The Opportunity

We're looking for an administrative and organising superstar to support our Southern Region Construction Submissions team, based in Richmond, on a 12‑month maternity leave contract (full‑time). In this fast‑paced, varied role, you'll work closely with the Submissions team to coordinate tender responses for the Southern Construction Region across VIC, TAS & SA - helping ensure submissions are accurate, compliant, on‑brand and delivered on time. You'll be part of our Pre‑Contracts team as we pursue opportunities for clients including VIDA roads, Yarra Trams, Melbourne Airport, the Level Crossing Removal Project and the Department of State Growth, to name a few.

Key Responsibilities
  • Coordinate EOI and tender submissions, ensuring high-quality responses and on-time delivery
  • Work with the bid team to build and manage submission schedules, milestones and internal reviews
  • Set up tender and submission documentation using Microsoft Word templates and style guides
  • Collate information, source graphics and support content reviews, updates and version control
  • Maintain and update the Resource Library (CVs, project sheets and standard text) to keep content current and consistent
  • Format and quality-check documents to a high standard in Microsoft Word and PowerPoint (InDesign experience valued)
  • Maintain structured electronic filing systems to ensure easy access and auditability
  • Provide general administration support to the Pre‑Contracts team as required
About You
  • Intermediate to advanced Microsoft skills (especially Word and PowerPoint)
  • Ability to manage tight and competing deadlines with a strong sense of urgencyStrong attention to detail and pride in producing polished, accurate documents
  • Confident communicator with strong proofreading skills and the ability to spot and fix formatting and grammatical issues
  • Experience in tenders, submissions, proposals or document coordination (highly regarded but not essential)
