Job summary

Grainmaster Silos, part of The Davey Group, is a Toowoomba-based manufacturer delivering grain storage solutions. We seek an organised Operations Support Administrator to coordinate site preparation, accommodation and travel for site teams, and to manage movements of people, equipment and materials.

You will support the operations team with scheduling, supplier liaison, reporting and compliance, ensuring sites are ready and crews are moved efficiently.

Qualifications

• Experience in administration, coordination, logistics or project support.
• Experience arranging accommodation or travel for multiple people.
• Strong organisational and administrative skills with attention to detail.
• Competent with Microsoft Office, especially Excel and Outlook.

Responsibilities

• Coordinating site preparation activities, including scheduling, supplier and contractor liaison, and confirmation of site readiness requirements.
• Arranging and managing accommodation bookings for site-based personnel, and maintaining accurate occupancy and booking records.
• Planning and booking travel and people movements, including flights, vehicles, transfers, and mobilisation and demobilisation schedules.
• Coordinating logistics for equipment, materials and consumables, including transport bookings, deliveries and collections.
• Maintaining mobilisation schedules, personnel movement registers and site contact lists, and communicating changes promptly to affected teams.
• Supporting site induction and access requirements by liaising with the WHS and compliance teams, and tracking that required tickets and inductions are current before personnel are mobilised.
• Preparing regular reporting on logistics activity, accommodation use and upcoming movements for management.
• Providing general administrative support to the operations team, including document control, correspondence and meeting coordination.
