Job summary

Vestas is seeking an organised Site Administrator to support day-to-day operations at Bald Hills, VIC and Tasmania. The role can be based at either location and involves administering site activities, coordinating travel, accommodation, costs and invoicing, and generating PO numbers.

You will support the Site Manager and team across accounts, vehicles, freight, meetings, and reporting, while ensuring compliance with HSE and company policies.

Qualifications

  • Minimum 5 years' experience providing administrative support.
  • Advanced Excel and Word skills.
  • SAP experience is highly regarded.

Responsibilities

  • Accounts management: raising and tracking all POs, processing invoices, vendor liaison, and maintaining site registers.
  • Manage site vehicles, travel and accommodation bookings and tracking.
  • Oversee inbound/outbound freight, ordering spare parts, goods receipting, and freight tracking.
  • Attend meetings, record accurate minutes and filing.
  • Reconcile corporate card expenses and maintain expense registers.
  • Support HSE by coordinating PPE orders, training and room bookings.
  • Ensure compliance with Vestas policies, HSE guidance, and KPI requirements.
  • Perform ad hoc administration as required.

Job description

We are seeking an organised and proactive Site Administrator to support day-to-day operations of our wind farm sites at Bald hills, Victoria and Tasmania. This position can be based at either location and plays a key role in ensuring the smooth administration of site activities.

The Site Administrator role involves supporting the Site Manager and the broader team in various administrative tasks. This includes managing travel and accommodation, compiling site costs and invoicing and generating PO numbers.

Responsibilities
  • Accounts Management including raising & tracking all PO's for site based activities, timely payment of invoices, vendor interface, and all associated site registers & trackers
  • Vehicles, Accommodation & Travel including booking & tracking of site vehicles, short & long term accommodation sourcing, and travel booking using internal system, and all associated site registers & trackers
  • Inbound/Outbound Freight including spares and consumables ordering & tracking, goods receipting, and general freight management
  • Meetings/Minutes including attending all requested meetings as scheduled, accurate capture of minutes and filing accordingly
  • Expense Reconciliation including timely reporting of corporate credit cards and expense register
  • HSE Facilitation including ordering of PPE and emergency equipment, training and room bookings
  • Compliance with Vestas policies & procedures, HSE advice, and KPI requirements
  • Adhoc and general administration duties as necessary
Qualifications
  • Minimum 5 years of experience in providing administrative support
  • Advanced Excel and Word software skills
  • SAP experience highly regarded
Competencies
  • Demonstrated experience in providing project administration to large scale projects
  • Knowledge and working experience in SAP modules are highly desired
  • Ability to liaise with multiple stakeholders
  • Ability to work autonomously and multitask
  • Experience in high-pressure situations
  • Understanding of transport/logistics in the local market
  • Experience in preparing and presenting reports
