Job summary

Spiecapag Australia, a VINCI Group company, seeks an experienced Site Administrator to support the Le Fevre Project in South Australia. Reporting to the Project Manager, this role provides administrative support to the project team and ensures efficient day-to-day site operations and accurate record keeping.

Based on-site, you will coordinate workforce logistics, onboarding, documentation, invoicing and site access, while maintaining safety and compliance across the project.

Qualifications

  • At least three years' experience in a project or site administration role.
  • Experience supporting construction, infrastructure, pipeline, mining or FIFO projects is preferred.
  • Advanced MS Word, Excel and Outlook skills.

Responsibilities

  • Provide administration support for all site operations.
  • Assist with onboarding of project personnel and organise documents.
  • Ensure mobilisation documents are complete and signed.
  • Coordinate rosters, flights, accommodation and site access.
  • Coordinate site inductions for new starters and contractors.

About the role

We are seeking an experienced Site Administrator to join our Operations team supporting the Le Fevre Project in South Australia. Reporting to the Project Manager, this role will provide administrative support to the project team, ensuring efficient day-to-day site operations, accurate record keeping, workforce logistics coordination, and compliance with project processes and procedures.

This is a site-based role offering an exciting opportunity to be part of a major infrastructure project with a respected international contractor. Ideally, the successful candidate will be based locally and enjoy the benefit of a 5.5 days on, 1.5 days off roster; however, interstate candidates will also be considered.

Key responsibilities
  • Provide administration support for all site operations
  • Assist with the onboarding process of Project personnel, including arranging medicals and organising completion of the necessary paperwork
  • Ensure all mobilisation documents are complete, current, and stored appropriately and ensure all documents are signed
  • Coordinate rosters, flights, accommodation, and site access requirements
  • Coordinate site inductions for new starters and contractors
  • Maintain accurate and compliant filing and record-keeping systems
  • Assist with site procurement activities, including ordering and tracking office supplies, materials, and consumables, while coordinating deliveries to support site operations
  • Raise purchase orders and assist with procurement needs
  • Liaise with suppliers, subcontractors and key project stakeholders
  • Maintain training records and support site compliance requirements
About you
  • Minimum three years' experience in a project administration, site administration or similar role
  • Previous experience supporting construction, infrastructure, pipeline, mining or FIFO project environments
  • Strong organisational skills with the ability to manage multiple priorities and deadlines
  • Excellent attention to detail and ability to maintain accurate records and documentation
  • Advanced computer skills, particularly in Microsoft Word, Excel and Outlook
  • Strong communication and interpersonal skills with the ability to work effectively across diverse project teams
  • Demonstrated problem-solving capability and a proactive, solutions-focused approach.
  • Ability to work independently while contributing positively to a collaborative team environment
  • Commitment to safety, quality and compliance in all aspects of work.
