Job summary

HVAC Australia is seeking a proactive Service Coordinator to join our Brisbane team. You will be the central link between customers, field technicians and our office, ensuring jobs are booked, scheduled and completed smoothly.

You’ll manage dispatch, take calls, log service requests, update clients and coordinate parts, subcontractors and calendars. The role includes fleet management and training compliance, with training provided where needed.

Qualifications

• Experience in service coordination, scheduling or dispatch, preferably in HVAC or related trades.
• Strong organisational skills and attention to detail.
• Confident, friendly phone manner and clear written communication.
• Comfortable using job management software (simPRO) and Microsoft Office Suite.
• HVAC knowledge is a bonus but not essential; training will be provided.

Responsibilities

• Schedule and dispatch quoted, maintenance and breakdown jobs for field technicians.
• Answer customer calls and emails, log service requests and update customers.
• Manage technician calendars to optimise time and travel.
• Coordinate parts, materials and subcontractors for jobs.
• Follow up on job completion, paperwork and invoicing.
• Oversee fleet management of vehicles.
• Ensure compliance training for field staff.
• Prioritise urgent callouts and adapt to changing priorities.

What we're looking for

Experience in service coordination, scheduling or dispatch, ideally in HVAC, refrigeration, electrical, plumbing or another trade or field-service setting

Comfortable using job management software – we use simPRO & Microsoft Office Suite

A calm, solutions-focused approach when the day doesn't go to plan
