Job summary

Cushman & Wakefield is seeking a proactive Senior Facilities Coordinator to support day-to-day operations of a diverse property portfolio in Adelaide. Working with the Facilities Manager, you will help ensure safe, compliant and well-maintained environments.

You will coordinate facilities operations, manage contractors, conduct inspections, and assist with budgeting and reporting while maintaining thorough documentation and compliance across sites.

Qualifications

  • 3-5 years' experience in facilities coordination, property operations, building management, or similar role.
  • Experience in commercial/industrial property environments.
  • Knowledge of building maintenance, contractor management, engineering services, and compliance requirements.
  • Experience using CMMS or work order management systems.
  • Strong admin, reporting and financial management skills.
  • Proficiency in MS Excel, Word and PowerPoint.

Responsibilities

  • Coordinate day-to-day facilities operations: maintenance, cleaning, life safety, and general services.
  • Support management of contractor and vendor performance per contracts and client expectations.
  • Conduct regular inspections of buildings and critical systems; identify maintenance opportunities.
  • Respond to maintenance requests in a timely and professional manner.
  • Maintain site documentation and compliance records; ensure reports and logs are up to date.
  • Assist budgeting, financial reporting, purchase orders, invoice processing and expenditure tracking.
  • Support preparation of capital works plans, maintenance strategies, and cost-saving initiatives.
  • Collect and analyse operational data to support reporting and continuous improvement.
  • Monitor contractor and tenant insurance and safety compliance.
  • Build relationships with stakeholders while delivering excellent customer service.

About the Role

As a Facilities Coordinator, you will be responsible for supporting the delivery of operational excellence across facility services, maintenance programs, contractor management, compliance, and financial administration. You will work collaboratively with internal stakeholders, tenants, service providers, and contractors to ensure a safe, compliant, and well-maintained workplace environment.

What You'll Be Doing
  • Coordinate the day-to-day operation of facilities, including maintenance, cleaning, life safety systems, engineering services, and general building services.
  • Support the management of contractor and vendor performance, ensuring services are delivered in line with agreed contracts and client expectations.
  • Conduct regular inspections of buildings, common areas, and critical systems, identifying maintenance and operational improvement opportunities.
  • Respond to maintenance requests and facility-related issues in a timely and professional manner.
  • Maintain site documentation and compliance records, ensuring all reports, logs, certificates, and operational manuals remain accurate and up to date.
  • Assist with budgeting, financial reporting, purchase orders, invoice processing, and expenditure tracking.
  • Support the preparation of capital works plans, maintenance strategies, and cost-saving initiatives.

About You

You are an organised and solutions-focused facilities professional with strong communication skills and a passion for delivering outstanding workplace and property outcomes.

You'll Bring
  • 3-5 years' experience in facilities coordination, property operations, building management, or a similar role.
  • Experience within commercial property, industrial facilities, corporate workplaces, or real estate environments.
  • Knowledge of building maintenance, contractor management, engineering services, and compliance requirements.
  • Experience using CMMS or work order management systems.
  • Strong administrative, reporting, and financial management skills.
  • Proficiency across Microsoft Office Suite, particularly Excel, Word, and PowerPoint.
  • The ability to manage multiple priorities and work effectively in a fast-paced environment.
Desirable Qualifications
  • Certified Facility Manager (CFM), IFMA, BOMA, or similar industry certifications.
  • Additional qualifications in Facilities Management, Engineering, Property, Business, or a related discipline.
  • Experience interpreting contracts, service agreements, and vendor arrangements.
