Job description

Can you get the best out of a team – and hold a high standard while doing it?

RIC Safety Audits is a well-known, locally owned Geelong business. We complete gas, electrical, smoke alarm and minimum standards safety checks for residential rental properties, working with real estate agencies and property owners across Victoria. We love what we do, we know our regulations inside out, and we pride ourselves on great customer service and a great team culture.

As we grow, we're looking for a Scheduling Manager to lead our scheduling team and own the schedule for all of our work – around 400 to 500 jobs a week. This is a leadership role first. You'll set one clear standard, understand each person in your team and how they work best, coach them to it, and hold everyone to it – fairly, and face to face.

About the Role

This is a full time role, Monday to Friday, based in our Geelong West office. You'll lead our scheduling team, including two regional team leaders, and report to Brad Ott, Co-owner (Operations).

Key responsibilities include:
  • Leading the scheduling team day to day – running a weekly team meeting, a weekly catch-up with the team leaders, and regular one-on-ones
  • Getting to know each person's style and adjusting how you communicate, coach and give feedback to suit them – without ever changing the standard
  • Owning the forward schedule for every trade, so every job is booked and done by its due date, and urgent, overdue and out-of-town jobs are booked first
  • Making sure every trade has a full, practical day – booking efficiently, planning regional runs ahead and filling gaps quickly when jobs are cancelled
  • Handing out the hard jobs fairly, so the same people don't carry them
  • Dealing with friction and slipping work early, privately and fairly – the facts, the standard, a date, then following through
  • Developing our two regional team leaders as leaders, and recruiting, training and settling in new schedulers
  • Working closely with our trade coordinator, account managers and admin team to give agencies and tenants realistic dates and fix the cause when something goes wrong
  • Keeping job information accurate in SimPRO, and reporting to Brad weekly on how the team is tracking against our clear, measurable standards

You'll have RICSA's own scheduling tools to work with – including our job map, schedule checker and live dashboards – so decisions and coaching start from real numbers, not gut feel.

What We're Looking For

We're looking for a calm, clear and straight-talking leader who genuinely enjoys working with people and getting the best out of them.

Essential attributes:
  • At least 2 years leading a team, ideally including people who lead others
  • Reads people well and adapts their style to each person, while holding one standard for everyone
  • Excellent communication – calm, clear and straight with trades, agencies, tenants and your team, including the tough conversations
  • Holds themselves and the team to deadlines and KPIs – fairly, early and with facts
  • Uses data to coach, not to punish – comfortable with numbers and quick to learn new software
  • Ability to think on your feet and solve problems in a calm, timely way
  • Exceptional attention to detail and follows procedures 100%
  • Makes practical decisions with what they have, and owns the result – including the misses
  • A team player who shares the credit and builds a team that backs each other

Experience scheduling or dispatching people in the field (trades, technicians, service crews) will be highly regarded but is not essential. SimPRO or a similar job management system is an advantage. We'll teach you the Victorian rental safety requirements if you have the drive to learn them quickly.

Why Join RIC Safety Audits?
  • Stable, full time role with a real leadership seat
  • Personality-style (DISC) profiling and training paid for by RICSA
  • Coaching and mentoring from the directors
  • Personal development opportunities agreed with you
  • Purpose-built scheduling tools, built in-house, that make the job easier
  • A supportive, fun and collaborative culture – we work together in the office, solve problems face to face and own our results without blame
  • A well-established, respected local business with a modern Geelong West office
  • Real responsibility and real impact on how our business runs
