Job summary

Uniting NSW.ACT is seeking a Client Administration Officer in Unanderra to support the Finance team with client administration, accounts and Medicare funding processes. This role involves handling sensitive conversations, data entry, and cross‑team collaboration to resolve enquiries and maintain accurate records.

You will engage with clients, families and representatives by phone and email, explain invoices clearly, and support contracts and documentation.

Qualifications

  • Previous administration or customer service experience, ideally within health, aged care, finance or a similar environment
  • Confidence speaking with people over the phone, including when conversations are challenging or sensitive
  • Genuine customer-service mindset with calm, respectful, empathetic approach
  • Ability to explain invoices, fees, payments and changes to charges clearly
  • Strong problem-solving skills to resolve account discrepancies and charging issues
  • Excellent attention to detail and a high level of accuracy
  • Strong data entry skills with high efficiency and accuracy
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks and follow enquiries through to resolution
  • Comfort dealing with difficult or emotional situations and communicating with clients and authorised representatives
  • Ability to work collaboratively with internal teams to resolve client account and billing enquiries
  • Willingness to learn new systems and processes quickly

Responsibilities

  • Assisting with client accounts, including rejected payments, overdue accounts, refunds and accommodation payments
  • Processing and monitoring Medicare events and subsidy-related information
  • Supporting the preparation, execution and filing of client contracts and documentation
  • Maintaining accurate client records and ensuring documentation is appropriately filed
  • Liaising with Service Managers, administration teams and other Finance teams to resolve enquiries
  • Providing general administration and database support
  • Assisting other team members during periods of leave or increased workload

Client Administration Officer
Join us in Unanderra! Full-time contract opportunity through to February 2027.

We’re looking for a Client Administration Officer to join our Finance team and play an important role in supporting our Ageing services and clients.

About the role

As a Client Administration Officer, you’ll be part of our Client Administration Team, providing a central point of contact for client administration, finance and account-related enquiries across our Ageing services.

You’ll combine your strong administration and customer service skills with your attention to detail to ensure client information, accounts and records are accurately maintained and enquiries are followed through to resolution.

Your day-to-day responsibilities will include:
  • Processing client admissions, departures, leave, funding changes and other client events

About you

You’re a confident, compassionate and customer-focused administrator who isn’t afraid to pick up the phone and have challenging conversations. You understand that many of the people you’ll be speaking with may be navigating significant life changes, including placing a loved one into care or dealing with the loss of a family member.

You’ll need to be comfortable having sensitive and sometimes difficult conversations while remaining professional, patient and empathetic.

To be successful in this role, you’ll bring:

  • Previous administration or customer service experience, ideally within health, aged care, finance or a similar environment
  • Confidence speaking with people over the phone, including when conversations are challenging or sensitive
  • A genuine customer-service mindset and the ability to remain calm, respectful and empathetic
  • The confidence to explain invoices, fees, payments and changes to charges in a clear and easy-to-understand way
  • Strong problem-solving and investigative skills, with the ability to look into account discrepancies and determine why a client may have been charged incorrectly
  • Excellent attention to detail and a high level of accuracy
  • Strong data entry skills - there is a significant amount of data entry involved in this role, so accuracy and efficiency are essential
  • Strong written and verbal communication skills
  • The ability to manage multiple tasks and follow enquiries through to resolution
  • Confidence dealing with difficult or emotional situations and communicating with clients, families and authorised representatives
  • The ability to work collaboratively with internal teams to resolve client account and billing enquiries
  • A willingness to learn new systems and processes quickly

We’re looking for someone who genuinely enjoys helping people and is comfortable taking ownership of an enquiry from start to finish.

You might speak with a family member who is arranging care for a loved one, someone who is grieving, or a client who believes they have been incorrectly charged. You’ll need to listen, show empathy, investigate the issue, explain what has happened and work towards a resolution.

You won’t be afraid to pick up the phone, even when the conversation may be difficult.

You’ll be patient, compassionate and confident in explaining financial information while ensuring every person feels heard and supported.
