Job summary

Splendour Tailored Tours in Sydney seeks a meticulous Tour Operations Coordinator to manage bookings, CRM data, invoicing and tour logistics for luxury experiences.

You will collaborate with the General Manager, train junior staff, and ensure flawless client interactions while coordinating with partners to deliver high-end itineraries. Occasional work-from-home options are available, with a focus on Sydney-based travel experiences.

Qualifications

• Extremely detail-oriented; accuracy is essential for bookings, invoices and client comms.
• 2+ years in an administrative/reservations role, preferably in travel, hospitality or events.
• Knowledge of Sydney and its exclusive experiences is a plus.
• Strong organisational skills and keen attention to detail.
• Tech-savvy with CRM systems, invoicing software, and Microsoft Office.

Responsibilities

• Monitor and respond to incoming emails professionally and promptly.
• Enter and manage client bookings in our CRM system.
• Create and send invoices, ensuring accuracy in all financial transactions.
• Book and coordinate tour activities, ensuring seamless execution.
• Edit and update bookings to accommodate client requests.
• Answer and manage phone calls with excellent customer service.
• Liaise with suppliers and partners to confirm details.
• Maintain and organise client records, ensuring data integrity.
• Check bookings and send tour calendar invites to hosts.
• Complete host calls the day prior to tours with relevant information.
• Book and execute last-minute tours, handling urgent requests efficiently.
• Tailor set tours to better suit agent requests, ensuring a customized experience.
• Oversee booking accuracy and quality control across the administrative function.
• Help prioritise daily workflow and ensure deadlines, confirmations and follow-ups.
