Job summary

The Shift People is seeking an experienced Purchashing & Procurement Specialist for its Northern Rivers food manufacturing operations. This hands-on role focuses on purchasing raw materials and packaging, supplier coordination, inventory accuracy, and end-to-end procurement processes from PO to invoice reconciliation.

You will collaborate with procurement, logistics and finance to ensure timely materials availability and accurate records, helping operations run smoothly.

Qualifications

  • 3+ years' experience in purchasing, procurement, inventory administration or supply chain.
  • Experience in manufacturing or food production is highly regarded.
  • Proficient with ERP systems (CIN7, DEAR) and Excel.
  • Strong communication, organisation and attention to detail.

Responsibilities

  • Plan and coordinate purchasing of raw materials, packaging and inventory items.
  • Raise, manage and track purchase orders using the ERP system.
  • Source suppliers, obtain quotes and support negotiations.
  • Reconcile invoices and maintain supplier master data.
  • Coordinate inbound deliveries and track schedules with logistics partners.
  • Support stocktakes, costing and month-end reporting.
  • Identify procurement process improvements and system efficiencies.

We're partnering with a well-established, growing food manufacturing company based in the Northern Rivers, which is seeking an experiencedPurchasing & Procurement Specialistto join its Supply Chain team.

This is a hands-on role where you'll be responsible for purchasing raw materials and packaging, coordinating suppliers, supporting inventory accuracy, and ensuring procurement processes run efficiently from purchase order through to invoice reconciliation.

About the Role:

Reporting to the Supply Chain Manager and working closely with the Finance team, you'll play a key role in ensuring materials are available to support production while maintaining accurate purchasing, inventory and financial records. You'll work across procurement, supplier management, inventory administration and purchasing support, helping ensure products are delivered on time and operations continue to run efficiently.

Key Responsibilities:
Procurement & Purchasing
  • Plan and coordinate purchasing of raw materials, packaging and inventory items.
  • Raise, manage and track purchase orders using the ERP system.
  • Source new suppliers and obtain competitive quotations.
  • Support supplier negotiations on pricing, terms and delivery performance.
  • Maintain supplier relationships and monitor quality, pricing and service levels.
  • Ensure purchasing activities comply with internal approval processes.
Supplier & Logistics Coordination
  • Coordinate inbound deliveries with suppliers, freight forwarders and logistics partners.
  • Track shipment arrivals and communicate delivery schedules across the business.
  • Manage supplier communications relating to orders, invoices and account queries.
  • Proactively identify and escalation supply risks or delivery delays.
  • Maintain accurate import and shipping documentation.
Inventory & Finance Support
  • Process inventory-related supplier invoices.
  • Match purchase orders, goods receipts and invoices.
  • Reconcile inventory transactions between ERP and accounting systems.
  • Assist with inventory costing, landed costs and inventory reconciliations.
  • Support stocktakes, inventory adjustments and month-end reporting.
  • Maintain accurate product, supplier and pricing master data.
Continuous Improvement
  • Prepare purchasing and inventory reports.
  • Identify opportunities to improve procurement processes and system efficiencies.
  • Assist with documenting purchasing procedures and standard operating processes.
  • Support continuous improvement initiatives across supply chain operations.
About You:

You'll be someone who enjoys working in a fast-paced manufacturing environment and takes pride in delivering accurate, efficient and well-organised work.

You'll also bring:

  • 3+ years' experience in purchasing, procurement, inventory administration or supply chain.
  • Experience working within a manufacturing or food production environment (highly regarded).
  • Experience using ERP systems such as CIN7, DEAR or similar.
  • Experience with Xero or other accounting software.
  • Strong Excel and data management skills.
  • Excellent organisational and time management skills.
  • High attention to detail and accuracy.
  • Strong communication and relationship-building skills.
  • A proactive approach with a continuous improvement mindset.

Experience with inventory accounting concepts such as GRNI, landed costs, inventory reconciliations or stock control will be highly regarded.
