Job summary

CBRE is seeking a diligent tenancy and lease administration assistant to support the financial performance of a landmark retail asset in Canberra. You will maintain accurate tenancy schedules, process billing, and assist with lessee reporting.

You will work closely with the Retail Manager and centre teams, applying strong attention to detail, Excel proficiency, and clear communication to ensure timely data updates, compliance, and effective stakeholder engagement.

Responsibilities

  • Maintain accurate tenancy schedules, lease records and system information within required timeframes.
  • Administer tenant billings, ad hoc charges, credits, concessions and rent in line with lease terms.
  • Manage tenant ledger accounts, collect arrears, reconciliations and arrears reporting.
  • Coordinate lease compliance information, including sales figures, insurance docs, bank guarantees, survey plans and records.
  • Prepare timely property administration reports and support budgeting, forecasting, lease assignments and storage licences.
  • Build collaborative relationships with retailers and centre teams while completing general office administration and compliance tasks.

Support the financial performance of a landmark retail asset

Reporting to the Retail Manager, you will maintain accurate tenancy and tenant account information, coordinate key lease administration activities, and provide reliable property administration support. Your work will help the centre team meet financial, reporting, compliance, and service requirements.

Key responsibilities
  • Maintain accurate tenancy schedules, lease records and system information, ensuring updates are completed within required timeframes.
  • Administer tenant billings, ad hoc charges, credits, concessions, rebates and percentage rent in line with lease terms and approval requirements.
  • Manage tenant ledger accounts, collect arrears, complete reconciliations, and prepare accurate arrears reporting.
  • Coordinate lease compliance information, including sales figures, insurance documents, bank guarantees, survey plans and other required records.
  • Prepare timely property administration reports and support centre budgeting, forecasting, lease assignments, variations and storage licences.
  • Build collaborative relationships with retailers and centre teams while completing general office administration, secure reconciliations and compliance activities.
About you
  • Administration experience, preferably within retail property or a related commercial environment.
  • Strong accuracy and attention to detail, particularly when working with financial and lease information.
  • Clear written and verbal communication skills and confidence working with a range of stakeholders.
  • Competency across Microsoft Office, particularly Excel and Outlook.
  • The ability to prioritise tasks, manage deadlines, and work independently.
  • Experience managing tenant accounts or collecting tenancy rents is desirable.
