Job summary

Saab Australia is seeking a motivated Project Support Officer to deliver administrative and coordination support across Naval Combat Systems projects. You will work with project managers to keep projects on time and to a high standard, including meetings, reporting, and document control.

Two full-time 24-month fixed-term roles are based in Adelaide and Melbourne. A defence security clearance is required to baseline/NV1/NV2 or the ability to obtain one; hybrid work options are available.

Qualifications

  • 2–5 years of administrative experience in a project environment (essential).
  • Defence industry experience is preferable.
  • Experience with project governance and reporting is desirable.

Responsibilities

  • Providing administrative and coordination support to project teams.
  • Tracking and reporting progress and performance of one or more projects.
  • Coordinating project meetings and conferences; arranging travel where applicable.
  • Producing minutes and action logs for meetings.
  • Preparing presentations and maintaining document templates; controlling versions and distribution.
  • Automating manual administrative processes tied to projects.
  • Supporting development of business cases, project plans and audit reports.
  • Complying with legislation, policies and the quality management system.
  • Performing other duties as assigned.

Job description

We are seeking a motivated and organised Project Support Officer to join our team and provide high-quality administrative and coordination support across a range of projects.

As part of our Naval Combat Systems group, the Project Support Officer will perform day to day tasks associated with the provision of project management and project administration.

Working closely with project managers and key stakeholders, you will help ensure projects are delivered efficiently on time and to a high standard.

Further, the successful candidate will:

  • Providing administrative and coordination support to project teams.
  • Providing administrative support in tracking and reporting progress and performance of one or more projects
  • Coordinating project meetings and telephone conferences as requested, arranging travel where applicable, and
  • Producing minutes and action logs for meetings
  • Preparing professional presentations, developing and maintaining document templates, controlling version and document distribution,
  • Streamlining and automating manual administrative processes and procedures associated with project(s).
  • Providing administrative support for the development of business cases, project plans and audit reports.
  • Comply with legislation and Company policies, processes and instructions, including those relating to non-discrimination, safety and duty of care and the quality management system
  • Perform other duties as assigned

Flexible work arrangements such as hybrid work from home / office, 9-day fortnight will be considered for this role.

We have 2 Full-time 24 months Fixed term roles, based in Adelaide as well as Melbourne.

About you

Your skills and experience will include:

  • Strong planning, analysis and communication skills
  • Excellent administrative skills, coupled with a general understanding of the project life cycle, project documentation, project standards and methodologies
  • Ability to work according to strict deadlines and manage various demands
  • Accuracy, attention to detail and highly organised
  • Ability to prioritise and use initiative
  • Awareness of earned value management principles (desirable)
  • 2 – 5 years of administrative experience in a project environment (essential) in Defence industry (preferable)
As a defence security clearance is required for this role, applicants will be required to hold an Australian Defence Security Clearance to baseline/NV1/NV2 level or have the ability to gain one. Information including past and present nationality and citizenship may be requested to check eligibility for access to materials controlled under various export control regimes, including ITAR.
