Job summary

Wabtec in Brisbane is seeking a Project Coordinator/Document Controller to manage engineering project documentation and ensure timely delivery. You will work closely with engineering teams, project managers, clients and stakeholders to align document control procedures with project requirements.

The role focuses on maintaining document control registers, improving processes, and delivering accurate documentation throughout the project lifecycle, with two days work-from-home flexibility on offer.

Qualifications

  • 3+ years of experience in a document controller role.
  • Proven experience in document control, preferably in software engineering or related technical environment.
  • Highly proficient in Microsoft Office.
  • Experience with Aconex and other Document Management systems.
  • Strong communication and interpersonal skills with stakeholders.
  • Strong organizational and time management skills; manage multiple projects.

Responsibilities

  • Oversee documentation flow to meet project deadlines.
  • Develop and maintain an internal document control system; liaise with customers.
  • Maintain document lifecycle registers and filing systems, including archiving.
  • Coordinate submission workflows with clients, subcontractors, and project staff.
  • Ensure submissions meet project naming conventions and formats.
  • Provide training on document control processes as required.
  • Record documentation submissions to and from involved parties.
  • Generate reports for Engineering/Commercial/Project Managers.

Who will you be working with?

Wabtec’s Digital Intelligence Signaling & Systems team is a recognized industry leader in the successful delivery of complex integrated system projects. These projects involve signaling, train control, communications, and back-office solutions with a strong focus on project execution, schedule adherence, and customer satisfaction

Where is the position located?

Northside Brisbane, Queensland, with free onsite parking. The role offers 2 days' work from home flexibility.

How will you make a difference?

The purpose of the Project Coordinator/Document Controller is to be responsible for managing, organising, and controlling documentation for engineering projects. They are to work closely with the engineering teams, project managers, clients and other stakeholders, both internal and external, to ensure the timely and accurate delivery of all engineering documentation throughout the project lifecycle, along with continuing to develop company processes to ensure smooth and fit-for-purpose document procedures.

What will your typical day look like?
  • Responsible for overseeing and managing documentation flow to meet project deadlines.
  • Development of an internal document control system and liaising with customer representatives in aligning project document systems with customer requirements.
  • Maintaining all aspects of the project documentation lifecycle such as: establish, implement and maintain an efficient project-related document control register, project documentation and hard copy filling system including archiving.
  • Manage the workflows required to collate, issue and receive documents in accordance with project requirements. This will include collating and managing comment sheets for the purpose of ensuring document certification.
  • Ensuring document submissions are in accordance and compliant with project document naming conventions, formats and requirements.
  • Supporting other users of the internal document control system and project specific document control systems by providing training as required.
  • Planning and recording documentation submission to and from all necessary parties, including clients, sub-contractors and project office employees.
  • Interfacing with clients, designers and other key stakeholders to meet project document control requirements and deadlines.
  • Improving the current documentation management system and processes to increase efficiency, accuracy, and reliability.
  • Delivering internal workshops outlining document controlling processes and procedures.
  • Generating various reports for Engineering Manager, Commercial Manager and Project Managers, as requested.
What do we want to know about you?
  • 3+ years of experience in a document controller role.
  • Proven experience in document control, preferably in a software engineering or related technical environment.
  • Highly Proficient in Microsoft Office
  • Experience with Aconex and other Document Management systems
  • Strong communication and interpersonal skills, with the ability to work effectively with a wide range of stakeholders.
  • Strong organizational and time management skills, with the ability to manage multiple projects and priorities simultaneously.
  • Excellent attention to detail and accuracy, with the ability to identify and resolve discrepancies and inconsistencies in documentation.
  • Certificate or training in project coordinator or document controlling (desirable but not necessary).
