Job summary

Arc Renewable Group (ARG) is delivering commercial and industrial renewable energy projects. The Project Coordinator supports timely, controlled project delivery across managers, technical teams, clients and suppliers.

You will maintain documentation, manage milestones, decisions, risks and actions to keep projects on track. You will help with feasibility, approvals, delivery and handover, coordinate multiple projects in a fast-paced commercial environment and contribute to stronger reporting

Qualifications

  • At least three years in project coordination, admin, or program coordination.
  • Diploma or higher in PM, Business Admin, Engineering or related discipline.
  • Experience maintaining schedules, milestones, registers, documents.
  • Strong organisational skills to manage multiple active workstreams.
  • Proactive in following up actions and deadlines.
  • Clear written and verbal communication with clients and teams.
  • Ability to work autonomously within a multidisciplinary team.

Responsibilities

  • Coordinate day-to-day activities across ARG’s project portfolio including schedules and milestones.
  • Support projects through feasibility, planning, procurement, implementation, commissioning, handover.
  • Develop and update project plans, trackers, document registers and records.
  • Coordinate communication among project managers, engineers, clients, consultants, contractors and suppliers.
  • Organise meetings, prepare minutes, capture decisions and follow up owners.
  • Monitor milestones and procurement lead times, escalate delays early.
  • Maintain risk, issue, action, decision, variation and change registers.
  • Assist with documentation for stage gates and approvals.
  • Coordinate contractors and suppliers against scopes and timelines.
  • Prepare scopes, procurement docs, progress reports and management reporting.
  • Maintain audit-ready project files.

About the role

The Project Coordinator will help ARG deliver renewable energy projects in a controlled, timely and commercially disciplined manner.

Working across project managers, technical teams, clients, consultants, contractors and suppliers, you will coordinate project activities, maintain accurate documentation and keep milestones, decisions, risks and outstanding actions visible.

The role will support both C&I project delivery and the development of renewable energy assets through feasibility, approvals, delivery, handover or Ready-to-Build status. You will play an important part in preventing delays, strengthening reporting and ensuring that commitments do not fall between teams.

This role suits someone who takes ownership, follows matters through to completion and is comfortable coordinating multiple projects in a fast-moving commercial environment.

Key responsibilities
  • Coordinate day-to-day activities across ARG’s renewable energy project portfolio, including schedules, priorities, milestones, deliverables and dependencies.

  • Support projects through feasibility, planning, procurement, implementation, commissioning, handover and close-out, as applicable.

  • Develop, maintain and regularly update project plans, programs, trackers, document registers and administrative records.

  • Coordinate communication between project managers, engineers, technical specialists, clients, consultants, contractors, suppliers and other stakeholders.

  • Organise project meetings, prepare clear minutes, record decisions and actions, and actively follow up owners until matters are closed.

  • Monitor project milestones, approval pathways, procurement lead times and delivery commitments, escalating emerging delays or constraints early.

  • Maintain risk, issue, action, decision, variation and change registers across the project lifecycle.

  • Assist with the coordination of technical, planning, grid, land, commercial and delivery documentation required for project stage gates and approvals.

  • Coordinate contractors and suppliers against agreed scopes, schedules and deliverables, and promptly report material variations or performance concerns.

  • Support the preparation and review of scopes, procurement documentation, project submissions, client updates, progress reports and management reporting.

  • Maintain orderly, complete and audit-ready project files, including contracts, approvals, drawings, correspondence, reports and handover documentation.

  • Collect and organise project data for reporting on program, cost, delivery performance, risks and project outcomes.

  • Support disciplined project governance by ensuring approvals, decisions and changes are properly documented before work proceeds.

  • Help project teams identify and resolve coordination gaps that could cause rework, margin erosion, client dissatisfaction or avoidable delays.

  • Contribute to improving ARG’s project management systems, templates, reporting processes and repeatable delivery practices.

  • Actions, risks and dependencies have clear owners and are followed through.

  • Potential delays and variations are identified early rather than after they affect delivery.

  • Contractors, consultants and suppliers understand their commitments and deadlines.

  • Management receives concise, reliable project reporting.

  • Project documentation is complete, well controlled and ready for client, investor, buyer or governance review.

  • Handover and close-out requirements are planned early and completed properly.

  • ARG experiences less rework, fewer coordination gaps and more predictable project delivery.

About you
  • At least three years’ relevant experience in project coordination, project administration, program coordination or a closely related role.

  • A Diploma or higher qualification in Project Management, Business Administration, Engineering, Information Technology or another relevant discipline.

  • Demonstrated experience maintaining project schedules, documentation, milestones, registers and deliverables.

  • Strong organisational skills and the ability to coordinate multiple active workstreams without losing sight of detail.

  • A proactive approach to following up actions, resolving coordination issues and keeping deadlines visible.

  • Clear and professional written and verbal communication skills.

  • Confidence working with clients, consultants, technical teams, contractors and suppliers.

  • Experience in renewable energy, solar, battery storage, electrical infrastructure, construction or engineering projects.

  • Exposure to commercial and industrial EPC projects or development-stage renewable energy assets.

  • Experience coordinating planning, grid connection, procurement, construction, commissioning or handover activities.

  • Familiarity with project management platforms, CRM systems, document control systems and management reporting.

  • Experience supporting stage-gated project governance or formal investment and approval processes.
