Job summary

Citadel Edge Pty Ltd in Melbourne is seeking a proactive Project Coordinator to support our AV project delivery team, keeping schedules, budgets, and documentation on track. You will collaborate with project managers, procurement, warehousing, and suppliers to coordinate resource allocation, scheduling, and compliance, while ensuring quality and timely reporting.

• Oversee resource documentation, licenses and certifications.
• Assist with delivery scheduling and hardware allocation.
• Support transitions from sales to delivery and delivery to service with complete documentation.
• Organise and coordinate project meetings for the delivery team.
• Proofread and amend documentation such as contracts and reports.
• Assist with overtime claims and management of equipment (vehicles etc.).
• Contribute to ongoing process, documentation and systems improvements.

Are you a highly organised Project Coordinator with strong administration skills and the ability to manage competing priorities with a calm, professional approach? Join our AV team and play a critical role in keeping operations running smoothly.

The Project Coordinator supports operational day-to-day activity of the project delivery team and relevant state or operations manager/s. This role will be responsible for providing support for our Project Managers, enabling them to manage multiple projects more efficiently.

This includes actively collaborating with all facets of the business, to oversee and aid with procurement for projects, administrative support, resourcing allocation and related matters, compliance and quality assurance, and coordination with warehousing & logistics and suppliers.

What’s The Role?

Support the project delivery team in monitoring project status, financial summaries, resource allocations, documentation management and submission. Including but not limited to all project completion documents, budgets, testing summaries, O&M manual and warranty information.

Ongoing management of resource documentation, licenses, certifications, etc.

Assist the project delivery team with delivery scheduling and hardware allocation.

Assist project transitions from sales to delivery and delivery to service. Ensuing all documentation is completed and uploaded to the project file.

Organise and coordinate project meetings on behalf of the project delivery team.

Assist Project Managers with delivery scheduling and hardware allocation.

Proofread, amend, and offer feedback regarding documentation when necessary, i.e., contracts, monthly quality performance reports, contract value agreements, and deed of release.

Assist with the submission of overtime claims for project related staff in conjunction with the project delivery team.

Assist with the management of all equipment including pool vehicles, including but not limited to servicing, storage, and allocation.

Actively participate in the ongoing improvement of process, documentation, and systems.
