Job summary

Aestec Services is seeking an experienced Project Coordinator to join our Gladstone team. You will work closely with the Project Manager to keep projects progressing—from planning through to completion—and coordinate documentation, client and subcontractor interactions.

This hands-on role blends project administration, commercial coordination and technical support. You’ll own day-to-day coordination, prepare variations and progress claims, and help manage programs, costs and reporting.

Qualifications

Aestec Services is growing, and we're looking for an experienced Project Coordinator to join our team in Gladstone.

This is a key support role within our project team, working closely with our Project Manager to keep projects running smoothly from planning through to completion.

ABOUT THE ROLE

This is a hands-on project coordination role that combines project administration, commercial coordination and technical project support.

Working closely with the Project Manager, you'll take ownership of the day-to-day coordination and documentation required to keep projects progressing. You'll have interaction with clients, subcontractors and site teams and will be responsible for preparing project documentation and commercial information for review and approval by the Project Manager.

There are no direct reports in this position.

KEY RESPONSIBILITIES

• Coordinate the day-to-day administration and delivery requirements of projects
• Prepare variations, progress claims, project correspondence and commercial documentation
• Assist with subcontractor scopes, packages, procurement and coordination
• Track project progress, costs, budgets and key deliverables
• Assist with project programs, forecasting and monthly reporting
• Coordinate RFIs, technical documentation and information between site and engineering teams
• Coordinate QA documentation, ITPs, handover documentation and project records
• Liaise with clients, subcontractors, suppliers and internal teams
• Monitor subcontractor compliance, documentation and project requirements
• Prepare reports, meeting minutes, action items and other project documentation
• Identify issues, follow up outstanding items and keep the Project Manager informed
• Provide general project support to ensure projects are delivered safely, efficiently and commercially

ABOUT YOU

We're looking for someone who can hit the ground running and isn't afraid to take ownership.

You may currently be working as a Project Coordinator, Project Administrator, Project Engineer, Contract Administrator or similar within the construction, civil or engineering industry.

You'll ideally have:

• Experience working within construction, civil or engineering projects
• Strong understanding of project administration and commercial processes
• Excellent organisational and time management skills
• Strong attention to detail and the ability to manage competing priorities
• Confidence communicating with clients, subcontractors and internal teams
• The ability to read and understand project documentation, scopes and drawings
• Experience with variations, progress claims, RFIs, QA documentation and project reporting
• Strong computer skills and experience with project management systems
• A proactive approach and the ability to work independently
• Relevant qualifications in Construction, Engineering, Business or a related field will be highly regarded
