Job summary

ASSA ABLOY, through Spence Doors in Forest Glen, Qld, is seeking a Project Administrator to support National Projects. You will focus on understanding customer needs, quoting, and closing sales with a high-performing team.

You will handle enquiries, review tenders, prepare pricing, and manage manufacture orders while maintaining project documentation and CRM records.

Qualifications

• Substantial level of skill in the administration and management of construction projects related to supply and installation of metal door frames, fire doors and timber doors.
• Ability to communicate satisfactorily with management, clients, specifiers and subcontractors.
• Proficient in personal computers and common software applications.
• Experience using Microsoft Office applications.
• Strong administration skills with meticulous attention to detail.
• Experience in Manufacturing and Sales is advantageous.

Responsibilities

• Answer telephone and emails promptly, resolve customer enquiries, delivering excellent service.
• Document control, register projects for quoting, orders and scheduling.
• Keep up to date on product and process knowledge.
• Review tender requests, summarise requirements and provide accurate pricing.
• Prepare and present project pricing for proposals to clients.
• Submit pricing variations as required.
• Analyse drawings to determine correct frames/doors and specifications.
• Attend to inbound leads, RFIs and RFQs promptly.
• Contribute to achieving sales targets and follow up on quotes and orders.
• Maintain CRM data and relationships with customers.

About The Role

Playing an integral role, the Project Administrator will be report to the National Projects Manager. This based in Forest Glen, Qld and is well supported by a high-performing team professionals and will require you to focus on understanding the customer needs, quoting, and closing the sale. Working in a fast-paced environment, promoting, selling and securing orders from both current and prospective clients.

• Answer telephone and emails prompt and resolve customer enquiries, delivering excellence in customer service
• Document control, register projects for quoting, orders and
• Keep up to date on product and process knowledge
• Review project tender requests, summarise the overall requirements and provide accurate pricing.
• Prepare and present targeted project pricing to deliver a comprehensive and professional proposal to the client (source material and or external pricing).
• Submit pricing variations as required
• Analyse architectural drawings and specifications to determine correct frames / Doors and specification.
• Attend to inbound leads, customer RFI and RFQ’s in a timely manner.
• Contributing to achieving sales targets, working with the team and following up on quotes and closing sales.
• Maintaining a close, regular and professional working relationship with existing and prospective customers to maximise market share.
• Review the project information, pricing and client requirements
• Determine product information from plans, specification, schedules and associated information
• Establish a project program for detailing, manufacture delivery and (if required) installation
• Prepare manufacture orders (job sheets) with all required information to enable manufacture
• Ensure goods are manufactured and delivered to the client as planned
• Establish and manage subcontract site installation and costs
• Action client site instructions, raise variation requests as required and follow up approvals
• Maintain and keep the CRM dated

About you

We are seeking someone who has strong attention to detail, effective communication skills, and the ability to work well with systems and procedures. To be successful in this role you will have the following

• Substantial level of skill in the administration and management of construction projects in respect to the supply and installation Metal Door Frames, Fire Doors and Timber Doors
• Ability to communicate satisfactorily with management, clients, specifiers and subcontractors
• Sound level of skill in the use of personal computers and programs
• Demonstrated experience using Microsoft Office applications
• Strong administration skills – organised, thorough, systems orientated with meticulous attention to detail
• Previous experience in Manufacturing and Sales will be highly regarded
