Job summary

Winslow Constructors is seeking a proactive Project Administrator for our Northern Suburbs office. You will report to the Construction Manager and handle quotes, tender docs, invoices, PO creation, stock management, event support, and delivery coordination for multiple projects.

Ideal candidates are highly organized, excel at stakeholder communication, and have experience with engineering teams. A collaborative, safety‑conscious environment is core to the Winslow Way.

Qualifications

  • A person who is highly organised with great attention to detail.
  • Able to proactively build positive relationships with key stakeholders.
  • Experience working alongside Engineers advantageous.
  • Experience in a similar role.
  • Articulate and excellent communication skills.

Responsibilities

  • Collate quotes from subcontractors for materials and machinery.
  • Compile tender documentation.
  • Create invoices and purchase orders as required.
  • Stock maintenance and ordering of stationery, office and kitchen supplies.
  • Support with event organizing and catering and set up of meetings.
  • Enter supplier dockets, identify purchase orders and delivery docket discrepancies.
  • Provide tracking reports to project stakeholders daily (costs, quantities, approvals, commitments).
  • Review and reconcile cost database for discrepancies.
  • Assist in preparing monthly project reports detailing costs and accruals for each cost centre.
  • Coordinate deliveries of machinery and materials.
  • Communicate confirmed orders and deliveries to project managers and construction supervisors.
  • Manage and order stock of tools, equipment, uniforms.
  • Other tasks as required for support project teams.

JOB DESCRIPTION

We are looking for a Project Administrator based out of our office in the Northern Suburbs.

Reporting to the Construction Manager, you will

Collate quotes from subcontractors for materials and machinery
Compile tender documentation

Create Invoices and Purchase orders as required

Stock maintenance and ordering of stationery, office and kitchen supplies.

Support with event organizing and catering and set up of meetings

Enter supplier dockets, Identify purchase orders and delivery docket discrepancies

Provide tracking reports to all relevant project stakeholders daily but not limited to: Quantities, Costs, Approvals and Commitments

Review and reconcile cost database for discrepancies

Assist in Preparing monthly project reports detailing costs and accruals for each cost centre

Secure bookings for approved quotes

Coordinate deliveries of machinery and materials

Communicate confirmed orders and deliveries to project managers and construction supervisors

Manage and order stock of tools, equipment, uniforms

Other tasks as required for support project teams
