Job summary

Newcomb Smiles Dental Clinic in Geelong's eastern suburbs is growing and seeks a hands-on Practice Manager to run day-to-day operations, work closely with the Principal Dentist, and help shape culture as the clinic scales.

You’ll oversee scheduling, HR admin, compliance, billing (Xero), and CareStack usage, stepping in at reception or assisting chairside during busy times. This is a genuine growth role with training provided.

Qualifications

• Previous experience as a Practice Manager or senior admin/operations role in a dental or allied health setting (essential)
• Strong understanding of dental practice workflows and patient scheduling systems
• Confident managing a small team, with excellent communication and conflict-resolution skills

Responsibilities

• Oversee daily clinic operations, patient scheduling, and workflow across clinical and front-of-house teams
• Manage staff rostering, leave requests, recruitment support, and day-to-day HR administration
• Ensure compliance with dental industry regulations, infection control standards, and workplace health & safety requirements
• Manage patient billing, health fund claims, and basic financial administration (Xero)
• Maintain and optimise use of CareStack practice management software
• Handle patient enquiries, complaints, and service recovery with a calm, professional approach
• Step in on reception and basic chairside/dental assisting support during busy periods, staff absences, or as the practice scales
• Act as the key point of contact between clinical staff, admin staff, and practice ownership
