Job summary

Foot and Leg Pain Centre in the Hills District seeks a Practice Coordinator to lead the front of the clinic. You’ll own the diary, manage calls, handle billing, and shape the patient experience in a small, compassionate team.

We're a specialist podiatry practice in the Hills District. We treat chronic foot and leg pain — the cases other clinics send on, and the patients who've been told to live with it. Dr Angus Chard has a PhD in biomechanics and thirty-five years of doing this work. People travel to see us, and they're usually relieved by the time they arrive.

We're looking for someone to run the front of the practice. Not to sit at a desk and wait for instructions — to genuinely run it. The diary, the phones, the billing, the patient experience, the feel of the place when someone walks in. It's a real job with real ownership, in a small team where what you do is visible every single day.

Here's what we've come to believe about hiring: we can teach you our systems, our software, and everything there is to know about podiatry admin. What we can't teach is energy, warmth, and giving a damn. So we care far more about who you are than what's on your CV.

What we're actually looking for

Genuine energy. You add something to a room rather than take from it. Patients feel better for having spoken to you — and so does the team.

A really good communicator. On the phone, at the desk, with an anxious seventy-year-old and with a stressed parent and their kid. You're clear, you're warm, and you actually listen.

Secure in yourself. Things go wrong in a busy practice. You handle it, you don't take it personally, and you don't need constant reassurance to keep going.

Curious, and keen to grow. We use AI heavily here — it writes our clinical letters and reports and lifts a huge amount of admin off the team. If that sounds interesting rather than intimidating, you'll do very well here. We'll teach you all of it.

Someone who genuinely likes people. That's most of the job.

What you'd actually be doing

You're the first voice on the phone and the first face at the door. You own the diary — the bookings, the rebookings, the recalls, and making sure the practice is properly booked rather than accidentally busy. You handle billing and daily reconciliation across private, HICAPS, Medicare, DVA, NDIS and workers compensation. You keep supplies stocked. And you keep the practice looking like somewhere people trust with their health, which includes basic cleaning — we're a small team and everyone pitches in.

You'll want to be comfortable with numbers. Not accountant-level, but you'll charge patients, balance a till and reconcile daily, so being confident with figures matters more than it might elsewhere.
