Jobbeschreibung

McMahon Services is looking for an organised and proactive Operations Administrator to join our Yard Operations team at Dry Creek.

This isn’t your typical administration role.

You’ll be right in the middle of a busy operational environment, supporting everything from invoicing, timesheets and purchase orders through to plant and vehicle records, training, onboarding, supplier administration and general day-to-day operations.

You’ll work closely with our Yard, Workshop, Fabrication, Stores and operational teams, helping make sure the details are taken care of and things keep moving.

There’s plenty of variety, so we’re looking for someone who enjoys being busy, can juggle different priorities and isn’t afraid to pick up the phone, chase something up or jump in and help when needed.

About McMahon Services

McMahon Services is one of Australia’s largest privately owned construction, industrial and environmental services organisations, employing more than 1,300 people across Australia.

Behind our projects is a large operational network of people, plant, vehicles, workshops and support teams that keep our business moving every day.

We’re proud of the projects we deliver, but equally proud of the people behind them. We invest in our people, encourage internal development and provide opportunities to build long-term careers across the business.

About the Role

As our Operations Administrator – Yard Operations, you’ll provide day-to-day administrative support across a broad range of operational activities.

A big part of your role will be making sure information is accurate, up to date and processed on time. This will include invoicing, timesheets, purchase orders, plant and vehicle records, supplier documentation and monthly cost information.

You’ll also support the wider team with training bookings, onboarding and offboarding, accommodation, uniforms, system requests, site access requirements and other operational administration as needed.

It’s a role with plenty of moving parts, so being organised, approachable and comfortable switching between different tasks will be important.

What You’ll Do

Your role will be varied and may include:

  • Process fabrication and internal invoicing and maintain accurate supporting records.
  • Review, verify and submit employee timesheets.
  • Raise and process purchase orders and Goods Received transactions.
  • Maintain plant trackers and verify plant allocations across sites and the Yard.
  • Assist with monthly GL account reviews and cost and claims reporting.
  • Monitor fabrication hours and ensure job bookings and records are accurate.
  • Maintain vehicle maintenance and servicing records, including kilometres, hours and pre‑start information.
  • Upload vehicle, crane and scissor lift service information for compliance tracking.
  • Support Workshop and Maintenance teams with service sheets and equipment documentation.
  • Maintain supplier information and assist with new supplier setups, credit applications and account queries.
  • Coordinate accommodation, training, medicals and other employee requirements.
  • Support employee onboarding and offboarding administration.
  • Process employment, asset and system requests.
  • Coordinate training enrolments and associated purchase orders.
  • Maintain site access, licence and clearance information.
  • Support National Police Clearance requirements where needed.
  • Assist with uniforms and other employee requirements.
  • Maintain transport and operational spreadsheets and reporting.
  • Assist with internal systems, process improvements and operational flowcharts.
  • Support recruitment administration, including interview coordination and employment documentation when required.
  • Assist with internal events, functions, catering and venue bookings.
  • Provide front desk and broader administrative support when required.
  • Assist with operational administration at Port Pirie from time to time.
What You’ll Bring
  • Previous experience in an Administration, Operations Administration, Project Administration, Workshop Administration or similar support role.
  • Strong organisation skills with the ability to manage multiple priorities.
  • Good attention to detail and confidence working with numbers and records.
  • Experience processing invoices, purchase orders, timesheets or similar transactions.
  • Confidence using Microsoft Office, particularly Excel and Outlook.
  • Ability to learn and confidently use different business systems.
  • Strong written and verbal communication skills.
  • Confidence dealing with employees, managers, suppliers and external providers.
  • Ability to follow up outstanding actions and see tasks through to completion.
  • A practical approach to problem solving.
  • Ability to work independently while also being part of a busy team.
  • A positive, helpful attitude and willingness to jump in when needed.
  • Current Driver’s Licence and willingness to travel to Port Pirie occasionally when required.
What Will Set You Apart
  • Previous experience supporting construction, transport, workshop, plant, maintenance or other operational teams.
  • Experience with Pronto or similar ERP systems.
  • Experience with Freshdesk, SharePoint or similar systems.
  • Understanding of plant, vehicle or workshop administration.
  • Experience with invoicing, cost reporting or GL account reviews.
  • Exposure to employee onboarding, training or recruitment administration.
  • Experience maintaining compliance, licences, servicing or training records.
  • Strong Excel skills.
  • Experience working with tradespeople, technicians, drivers or operational crews.
Why Join McMahon Services?
  • Join a busy and supportive Yard Operations team at Dry Creek.
  • Enjoy a role with genuine variety - you won't be doing the same thing every day.
  • Work across Yard, Workshop, Fabrication, Transport and wider operational functions.
  • Build experience across finance, plant, people, training and operational administration.
  • Work closely with people across different areas of the business.
  • Permanent full-time opportunity with long-term career potential.
  • Opportunity to broaden your skills and take on greater responsibility over time.
  • Access ongoing learning and development through the MAC Learning Academy.
  • Build a career within a large Australian business with opportunities across multiple teams and service areas.
  • Join a practical, down-to-earth team where people are willing to help each other out.
Sound Like Your Kind of Role?

If you’re the type of person who likes keeping things organised, helping people and making sure the details don’t get missed, this could be a great fit.

You don’t need to know every one of our systems from day one. We’re looking for someone with strong administration fundamentals, a willingness to learn and the attitude to become a reliable part of our Yard Operations team.

At McMahon Services, we embrace diversity and inclusion as fundamental values. We believe that a diverse workforce fosters innovation, creativity and a deeper understanding of the communities we serve. We are committed to creating an inclusive environment where all employees feel valued, respected and empowered to contribute their unique perspectives and talents.
