We are seeking a highly organised and proactive Office and Executive Assistant to provide executive and office administrative support to our Managing Director. We are a renewable energy business with 30 employees. This is a fast-paced and varied role requiring exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities while maintaining confidentiality. The successful candidate will play a key role in ensuring the smooth day-to-day operation of the office and supporting business activities across the company. The role will initially be a permanent/part-time engagement, with the potential to scale up to permanent/full-time.
Manage executive calendars, appointments, and meeting schedules.
Prepare meeting agendas, presentations, reports, and correspondence.
Attend meetings and record minutes and action items as required.
Screen and manage emails, phone calls, and other communications.
Organise company events, workshops, and functions.
Track key deadlines and ensure timely follow-up on actions.
Maintain filing systems, records, and confidential documentation.
Liaise with clients, suppliers, and stakeholders on behalf of executives.
Provide general administrative support across the business, as required.
Manage travel and accommodation bookings.
Manage and order office consumables.
Previous experience as an Office and Executive Assistant, or similar office administrative role.
Excellent organisational and time management skills.
Strong written and verbal communication abilities.
Advanced proficiency in Microsoft Office 365, including Outlook, Word, PowerPoint, and Teams.
High levels of discretion, professionalism, and confidentiality.
Ability to prioritise competing demands and work autonomously.
Strong attention to detail and problem-solving skills.
A positive, proactive, and service-oriented attitude.
Experience supporting senior management (desirable).
Experience in professional services, engineering, construction, energy, or project-based environments would be an advantage (desirable).
