Alexandra Headland Surf Life Saving Club is seeking a dedicated Nipper & Administration Coordinator to support the Nipper program and its families, volunteers, coaches and the Junior Activities Committee. The role spans member journeys from enquiry to participation, carnivals, and progression into broader Club pathways in a busy, positive environment.

A 4.5-day week with Nipper Sundays and on-site administration across membership, registrations, sign-ons and weekly operations.

Job description

The Nipper & Administration Coordinator is a newly created role and a fantastic opportunity to join a fun, supportive team with a great Club culture.

The position provides dedicated coordination and administration for the Club's Nipper program and its families, volunteers, coaches and Junior Activities Committee. The role manages the Nipper member journey from enquiry and registration through to weekly participation, carnival support, recognition and transition into broader Club pathways.

This role offers a 4.5-day working week, including Nipper Sundays, and is a great opportunity for someone who enjoys working with families, volunteers and the wider Nipper community in a busy, positive and rewarding environment.

The position also provides planned general administration support to the Surf Life Saving Club outside peak Nipper requirements.

Key responsibilities

Manage Nipper enquiries, applications, registrations, renewals, transfers, age-group allocations, wristbands and onboarding requirements

Provide accurate, welcoming and timely assistance to parents, carers, children and prospective members by telephone, email and in person

Coordinate the administrative preparation required for Nipper Sundays, including member lists, sign-on processes, age-group information, notices, equipment records and family communications

Provide visible, approachable on-site administrative support to families, Age Managers, coaches, officials, volunteers and the JAC

Prepare JAC agendas, papers, minutes, action registers, calendars and follow-up material as required

Coordinate family-facing Nipper carnival information, nominations, eligibility, deadlines, team requirements and changes in partnership with the Surf Sports & Events Coordinator

Maintain an annual Nipper communications calendar covering registration, proficiencies, Sundays, carnivals, meetings, camps, recognition and key deadlines

Maintain complete, accurate and audit-ready junior membership, attendance, proficiency, volunteer and administrative records

Provide monthly reporting to the General Manager and JAC Chair on membership, registrations, service demand, Sunday administration, volunteer records, outstanding actions, risks and forward priorities

Undertake other reasonable duties consistent with the position's purpose, classification and available capacity, as directed by the General Manager

About you

Demonstrated experience in membership administration, customer service, program coordination or office support within a high-volume environment

Strong organisational skills and the ability to manage registrations, records, communications, meetings, weekly operations and seasonal deadlines concurrently

Demonstrated ability to provide calm, respectful service to children, families, volunteers and members, including when managing complaints, competing demands or sensitive matters

High-level attention to detail and experience maintaining accurate records across databases and digital systems

Strong written and verbal communication skills and confidence preparing member information, correspondence, minutes and reports

Sound judgement, discretion and commitment to privacy, confidentiality and child-safe practices

Current Working with Children clearance (Blue Card), or ability to obtain before commencement

Current unrestricted driver's licence

Availability to work the agreed core roster, including a half-day Sunday during the Nipper season and reasonable additional weekend or evening requirements
