Job description

Join Penske as a National Service Coordinator, supporting customers and branches across Australia to deliver safe, compliant and efficient service outcomes.

Reporting to the National Off Highway Customer Support Manager, you will work closely with customers, branches, technicians and internal stakeholders to coordinate service activities, manage the flow of information between all parties, maintain accurate records, support quoting and invoicing processes, and assist in resolving customer enquiries.

This role also provides support to broader Energy Solutions Group (ESG) projects as required.

While this role will ideally be based at either our Edinburgh SA, Altona VIC, Chipping Norton NSW or Wacol QLD branches, we are open to considering the right candidate from anywhere in Australia. In this national role, you will support Penske branches and customers across the country while working collaboratively with teams across multiple locations.

In this role you will:
  • Coordinate service delivery across national contracts, working with customers, branches and technicians.
  • Provide administrative support to branch service departments and help ensure contractual requirements are met.
  • Assist with pricing and submitting quotations for repair and remedial work.
  • Provide customers with accurate documentation, including service reports, sample analysis results, images and repair estimates.
  • Monitor service activities, workloads and work in progress, providing customers with timely progress updates.
  • Support prompt work-order completion, closeout and invoicing.
  • Prepare and submit customer work-order claims in accordance with contractual requirements.
  • Perform account reconciliations and investigate discrepancies to support accurate billing and payment outcomes.
  • Manage information through customer portals to support accurate reporting and payment.
  • Respond to customer enquiries, queries and complaints, coordinating appropriate resolutions.
  • Build and maintain effective relationships with customers and internal stakeholders.
  • Monitor employee licences, qualifications, inductions and customer-site access requirements.
  • Provide administrative support for Energy Solutions Group (ESG) projects as required.
About you:
  • Previous experience in service coordination, administration, customer service, or a similar role.
  • Strong organisational and time-management skills, with the ability to manage competing priorities in a fast-paced environment.
  • Excellent attention to detail and a commitment to maintaining accurate records and documentation.
  • Confident communicating with customers, technicians, branches and internal stakeholders.
  • Experience with work-order administration, quoting, invoicing, account reconciliation, and investigating billing or payment discrepancies would be highly regarded.
  • Competent computer skills, particularly across Outlook, Word and Excel, with the ability to learn new systems, customer portals and business applications.
  • A proactive approach to problem-solving and delivering high levels of customer service.
  • Capable of working independently while contributing to a collaborative national team.
  • Exposure to service operations, power generation, heavy vehicle, industrial or related industries would be advantageous; however, we recognise that industry knowledge is developed through experience and are equally interested in candidates with strong organisational and administrative capabilities.
