Based in Heyfield, VIC 3858, this role is fundamental to the smooth operation of our medical practice. As the first point of contact for our patients, you will create a welcoming and professional environment whilst managing the administrative demands that keep our clinic running efficiently. This position offers the flexibility of part-time work whilst allowing you to make a meaningful contribution to patient care and centre operations.
Key responsibilities
Greeting patients with professionalism and warmth, ensuring a positive first impression of the medical centre
Managing the reception desk, answering telephone enquiries and directing calls appropriately
Scheduling and confirming patient appointments using practice management systems
Processing patient registrations and maintaining accurate medical records and documentation
Collecting patient fees and processing payments using secure payment systems
Preparing patient files and clinical notes for healthcare practitioners
Assisting with general administrative tasks including filing, data entry and correspondence
Maintaining confidentiality and adhering to privacy legislation and medical centre policies
Providing support to clinical and administrative staff as required
What we're looking for
Previous experience working in a medical reception or healthcare administration setting preferred but not essential
Excellent communication and interpersonal skills with the ability to interact professionally with patients and staff
Strong organisational and time-management abilities to prioritise multiple tasks
Proficiency with computer systems and practice management software
Attention to detail and accuracy in administrative tasks and record-keeping
Understanding of medical terminology and patient confidentiality requirements
A calm, patient demeanour when managing busy reception areas and difficult situations
Flexibility and willingness to support the wider team
Current knowledge of Australian healthcare practices and relevant legislation is advantageous
