The Medical Receptionist is responsible for providing comprehensive front-of-house and clinical administrative support to the clinical team and patients of Mind and Memory. The successful applicant will serve as the first point of contact for patients, referrers and visitors, and will play a key role in ensuring the efficient and effective day-to-day operation of the clinic.
Key responsibilities
- Provide clinical administrative support including the management of patient and referrer enquiries, appointment scheduling, patient accounts, billing and general correspondence
- Serve as the primary point of contact for patients, greeting and assisting in a warm, professional and trauma-informed manner
- Manage incoming telephone calls promptly and professionally, in accordance with clinic procedures
- Attend to email correspondence in a timely and accurate manner
- Prepare and type non-clinical letters, correspondence and other administrative documentation
- Process Medicare claims and manage patient billing accurately through Halaxy
- Engage with mental health consumers with respect, care and compassion at all times
- Maintain accurate and confidential patient records in compliance with privacy legislation and clinic policies
- Contribute to the organisation, planning and priority-setting required for the clinic to operate effectively and efficiently
- Provide day-to-day administrative support to clinical staff as directed
About you
- Bachelor's degree in Health Services, Health Management or an equivalent qualification; or demonstrated equivalent experience
- Minimum 2 years' experience in the health, education or management sector
- Proficiency in Halaxy practice management software
- Demonstrated competence in Medicare billing, including bulk-billing, private billing, patient claiming and rebate processing
- Sound IT proficiency, including Windows, OS, Microsoft Office Suite and general computer literacy
- Excellent verbal and written communication skills, with a kind, considerate and compassionate approach
- Demonstrated accountability and capacity to take ownership of responsibilities
- Proactive, organised and diligent in completing tasks through to resolution
- Experience working within a mental health, psychology or psychiatry setting (desirable)
- Familiarity with NDIS, private health insurance or third-party billing processes (desirable)
